About the Role

Reporting to the Chief Client Officer (CCO) and working closely with the Clients and Markets Leadership team, the Executive Assistant role plays a critical part in providing effective and efficient administrative support.

This is a permanent, part-time (0.80%) role with a requirement to be in the office at least 2 days per week. However, there is the possibility to consider full-time hours or modified working hours, for the right candidate. You can be based in any major Australian city (Adelaide, Brisbane, Melbourne or Sydney).

This role is fast-paced and varied, requiring a high level of organisation, coordination, and responsiveness. The position is ideally suited to someone who thrives in a trusted support role, enjoys working closely with senior stakeholders, and is energised by contributing to a dynamic and purpose-driven environment.

Key Duties and Responsibilities:

  • Answer/respond to incoming emails as appropriate;

  • Diary management including schedule meetings;

  • Screen telephone calls, enquiries and requests, and handle them when appropriate;

  • Assist in the creation of documents, presentations, agendas and meeting packs;

  • Assist with follow up of action items following external and internal meetings;

  • Daily support in relation to meetings and appointments, ensuring accuracy and efficiency (ie room / venue bookings, catering, relevant documentation and any other requirements);

  • Coordinate and manage travel arrangements for the Executive level;

  • Process expense claims;

  • Assist with organisation of both internal and client events;

  • Project and research work, as required;

  • Maintaining office systems, including data management;

  • Assisting other members of the Clients and Markets team when required;

  • General administration duties.

Skills/Attributes Required:

  • Strong organisation skills with the ability to prioritise tasks and adapt to changing and competing priorities.

  • Strong written and verbal communication skills, with the ability to draft clear, professional correspondence and engage confidently with stakeholders at all levels.

  • A high level of professionalism, reliability, and confidence in handling confidential information

  • Proactive and solutions-focused mindset, with a willingness to take initiative, anticipate needs, and contribute to continuous improvement.

  • Strong attention to detail, ensuring accuracy in documentation, scheduling, and administrative processes.

  • Collaborative and approachable, with the ability to build strong working relationships and contribute positively to team culture.

Qualifications and Experience required:

  • Previous experience in a Personal Assistant, Executive Assistant, or senior administrative support role.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Experience working in corporate or professional services, is highly regarded.
