Job Description:

Job Summary

Provides support to senior VP. Support relates to the operations of the business and includes administrative functions such as organizing calendars, meeting coordination, report generating, and travel arrangements. This administrative support also includes coordination and preparation of internal and external meetings up to attending to take notes and any post meeting follow up. Prepares and submits expense reports.  Admin may initiate creation of additional tools based on business needs and knowledge of VP needs. Must maintain confidentiality.


Key Responsibilities
  • Organizes calendars and types up notes and memos on behalf of VP. Must maintain confidentiality at all times.

  • Assist Managers with business needs and tools to include pulling focus reports and the development of reports and spreadsheets. Perform data validation and accuracy of reporting. (Strong Excel Required)

  • Coordinate all business travel for VP and in some cases their teams.

  • Coordinate and prepare all necessary information for both internal and external meetings. Some analysis may be necessary during the pre and post steps.

  • Prepares, submits, and files expense reports accordingly.

  • Other day to day business-related duties as assigned.

Key Skills, Knowledge & Experience
  • Full time working rights in Australia

  • Bachelor's degree or equivalent experience

  • Must have strong Microsoft Office Skills (i.e., Word, Excel, PowerPoint)

  • Experience in calendar management and administrative roles

  • Flexibility and ability to reprioritize

  • Strong written and verbal communication skills

  • Strong Organizational Skills

  • Ability to tailor communication styles to differing personalities and business needs

  • Strong attention to detail and accuracy

  • Ability to multitask and stay focused in a high intensity, fast-paced environment

  • Positive and professional demeanor and ability to stay calm under pressure

  • Works independently and demonstrates initiative

  • Ability to problem solve
