About the role:

We are seeking a Practice Coordinator  to work closely with our Office Manager, supporting the smooth day-to-day running of the practice. This is a varied, hands-on position that blends office coordination, people support and general administration, with some light finance and reporting tasks.

This role would suit someone who enjoys being the go-to person in the office — keeping things organised, welcoming, and running efficiently — and who takes pride in maintaining a professional, well-presented workplace.

Key Responsibilities

Practice & Office Coordination

  • Work closely with the Office Manager to support daily office operations
  • Coordinate office facilities and liaise with building management and service providers
  • Ensure shared spaces (including kitchens and meeting rooms) are kept neat, organised and well-stocked
  • Manage office supplies, amenities and staff services
  • Provide reception cover and be a welcoming first point of contact
  • Maintain archiving systems, including file retrieval and destruction
  • Assist with office projects and improvements as required

Administration & Team Support

  • Respond to day-to-day requests from Partners, PAs and the administration team
  • Follow up staff timesheets and support basic reporting requirements
  • Assist with onboarding coordination and general people support tasks
  • Handle confidential information with professionalism and discretion
  • Support ad hoc administrative tasks as they arise

Finance & Coordination Support

  • Assist with accounts payable and receivable processes
  • Support WIP and debtor administration
  • Assist with trust account administration
  • Allocate corporate credit card expenses
  • Process disbursements and inter-unit charges

(This is not a technical accounting role — training and support will be provided.)

You are a reliable, organised and approachable professional who enjoys supporting others and keeping things running smoothly behind the scenes. You’re comfortable juggling a variety of tasks, take pride in your work environment, and value being part of a collaborative office culture.

Skills & Experience

Essential

  • Demonstrated experience in an administrative, practice coordination or office support role
  • Strong organisational skills with high attention to detail
  • Confident communicator with a warm, professional manner
  • Ability to work both independently and as part of a team
  • Strong computer literacy (Microsoft Office)
  • Experience handling confidential information
  • Flexible and adaptable approach to changing priorities including some cleaning duties

Desirable

  • Certificate in Business Administration or similar
  • Exposure to finance administration, bookkeeping or professional services environments
  • Experience supporting office or practice management functions
