Job Description

Reporting to the Operations Director, Asia Pacific based in Singapore and working closely with our Sydney Office Manager, this role supports office operations and administrative services in our Sydney office.

What Will You Do  

  • Provide day-to-day administrative support (e.g. travel booking, calendar management)
  • Manage and coordinate with Montréal HQ on administrative requests
  • Work with office manager on purchase orders, invoice processing and payments related tasks
  • Assist with onboarding logistics and office supply management
  • Manage mail, courier services and office supplies
  • Serve as a backup for office safety and security protocols
  • Ensure timely submission of travel expenses via Concur
  • Carry out meeting room checks daily, ensuring they are always kept tidy and neat. Ensure any issues are dealt with in a prompt and efficient manner.

What You Bring

  • Graduate degree in a relevant discipline (administration, office management)
  • 3 - 5 years of experience in similar roles, ideally in a global environment
  • Excellent command of written and spoken English.  Knowledge of French an asset
  • Strong organizational, communication and time management skills
  • Possess high degree of discretion, diplomacy and tact in discharging duties
  • Meticulous and goal-driven
  • Proficiency in digital technology (Microsoft Office: Sharepoint, One Note, Word, Excel, Outlook, PowerPoint and Teams)
