About the role:

We are seeking a detail-oriented and organised professional to join our Intellectual Property team as a Trademarks Billing and Admin Assistant. This role is open to candidates seeking either a 4 or 5 day work weekIn this role, you will be responsible for ensuring smooth and accurate billing processes and debtor management and supporting both lawyers and clients with financial administration.

You’ll liaise closely with our Finance Team and IP Trademarks team, preparing invoices, answering billing queries, chasing client payment of disbursements, maintaining trust records, and providing clear financial reporting. The position also offers the opportunity to contribute to broader team projects and assist with general administration to support the effective operation of the practice.

Key Responsibilities:

  • Manage the billing and invoicing process, including preparation, amendments, and finalisation of accounts
  • Debtor management and answering invoice queries from external stakeholders
  • Oversee trust account records, reconciliations, and allocation of funds for client matters
  • Prepare financial reports, and provide accurate client communication on billing and trust queries
  • Support the team with general administration, file management, and ad hoc project work

What we are looking for:

  • Previous experience in a legal or professional services environment, ideally with billing responsibilities
  • Strong organisational skills and the ability to manage multiple tasks and deadlines
  • High attention to detail, accuracy, and commitment to quality
  • Proficiency in Microsoft Office and legal billing/financial systems ( in particular 3E)
  • A team player with excellent communication skills and the ability to work independently
  • Affability and an enthusiastic and helpful attitude
