Board Coordinator
Permanent, Full‑Time | Sydney
We are seeking a Board Coordinator to join our Company Secretariat team, contributing to the effective operation of Boards and Committees through high‑quality administration, record‑keeping and governance support across the organisation.
This role suits an organised and proactive administrator with strong attention to detail, a professional mindset, and a genuine willingness to learn and develop. We welcome candidates from a range of backgrounds - prior company secretarial or governance experience is not required. What matters most is attitude, capability, and an interest in building expertise in a governance‑focused environment.

You’re a detail‑driven, service‑oriented administrator who thrives in a professional environment where confidentiality, organisation and follow‑through are essential. Comfortable working autonomously, you bring strong administrative capability, sound judgement, and take ownership of your work. You enjoy being part of a collaborative team and remain calm and organised when managing deadlines in a busy, dynamic setting.
The Role
The Board Coordinator provides high‑quality administrative and governance support across Boards and Committees, working closely with the Head of Company Secretariat and the broader Company Secretariat team.
The role supports the effective and efficient operation of Boards and Committees across the Fidante business and other subsidiary entities of Challenger Limited. This includes delivering accurate and timely Board administration, maintaining statutory and governance records, and contributing to continuous improvement across systems and processes.
Key responsibilities include:
- Coordinating end‑to‑end Board and Committee meetings, including preparing agendas, calendars, meeting schedules, administrative papers, circular resolutions, action tracking and shell minutes
- Preparing and distributing Board and Committee papers via the electronic Board portal (Diligent)
- Maintaining corporate registers, statutory records and governance documentation
- Assisting with ASIC and ASX filings, regulatory lodgements and compliance obligations
- Supporting governance‑related services such as share and unit registry matters, trust and power‑of‑attorney registers, business names, ASX Listing Rules compliance and substantial shareholding notifications
- Contributing to continuous improvement initiatives across governance systems, processes and practices, including the use of AI
- Providing reliable, service‑oriented administrative support to enable Boards and Committees to operate effectively
Skills, Experience & Attributes
Essential
- Strong administrative experience with confidence using Microsoft Word and PowerPoint
- Demonstrated ability to multitask, prioritise and meet deadlines
- Strong written and verbal communication skills
- High attention to detail and commitment to accuracy
- Proactive, adaptable and team‑focused approach
- Professionalism and discretion when handling confidential information
Desirable
- Experience supporting Boards or Committees, or in a legal secretarial or similar role
- Experience using electronic Board portals such as Diligent Boards or Diligent Entities
