About the role

MSS Security is seeking a highly organised and detail-oriented Compliance & Administration Coordinator to support the delivery of our Sydney Trains Contract.

This is a pivotal coordination role responsible for managing workforce compliance, onboarding, training, accreditation and administrative requirements to ensure our Sydney Trains workforce remains fully compliant, appropriately equipped and deployment-ready.

Reporting to the Sydney Trains Contract Management team, you will provide dedicated administrative and operational support across workforce compliance, employee onboarding, Rail Industry Worker (RIW) requirements, training coordination, identification cards, uniforms and contract administration.

Key responsibilities

  • Prepare and maintain the monthly Sydney Trains Contract Establishment List.
  • Coordinate RIW training, renewals, recertifications and Category 3 medical requirements.
  • Maintain employee records within the RIW portal and monitor accreditation and competency expiry dates.
  • Coordinate Sydney Trains identification card applications and replacements.
  • Monitor and follow up mandatory training and eLearning compliance across the workforce.
  • Coordinate uniform ordering and distribution for employees and supervisors.
  • Manage new employee onboarding, ensuring all compliance, training, RIW, identification and uniform requirements are completed before deployment.
  • Liaise with internal teams and external providers to ensure compliance issues are resolved proactively.
  • Maintain accurate workforce compliance records, trackers and documentation.
  • Identify and escalate compliance risks before they impact operational deployment.

About you

You are a proactive coordinator who enjoys working in a fast-paced operational environment where accuracy, organisation and follow-through are essential.

To be successful, you will have:

  • Previous experience in administration, compliance, workforce coordination or operations support.
  • Strong organisational skills and the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and record-keeping capability.
  • Advanced Microsoft Office skills, particularly Excel and Word.
  • Strong written and verbal communication skills.
  • A proactive approach to monitoring compliance requirements and following up outstanding actions.
  • The ability to work independently while collaborating across multiple teams.
  • A high level of professionalism and confidentiality when handling employee information.

Experience within security, rail, transport, infrastructure, workforce compliance or a similar operational environment will be highly regarded. Exposure to RIW processes or rail industry compliance requirements is advantageous but not essential.
