As an ANZ Executive Administrator, primary responsibilities include:

  • Coordinate and schedule meetings, appointments, and travel arrangements for Country Chair and Country Leadership team related activities for Solventum Australia & New Zealand.
  • Prepare agendas, reports, presentations, and other documentation for meetings and presentations.
  • Prepare and distribute meeting minutes for Country Leadership Team and Board of Directors meetings.
  • Follow up on Country Leadership Team and Board of Directors meeting discussion items and related actions.
  • Organize and maintain physical and electronic files, records, and databases, ensuring accuracy and confidentiality.
  • Organize and spearhead Country Leadership Team events/activities.
  • Coordinate Solventum Australia & New Zealand employee engagement activities.
  • Liaise with external industry associations, government organizations, vendors, and suppliers to support stakeholders.
  • Manage sourcing and accounts payable matters relating to the Country Leadership Team and Board of Directors.
  • Process payment requests for vendors.
  • Conduct research and provide administrative support to various projects, as assigned.
  • Provide support and assistance to Country Chair, Country Leadership Team and other Solventum team members as prescribed.
  • Participate in conferences and other projects and activities as determined by the Country Chair and Country Leadership Team.

Position Qualifications, Experience & Skills

  • Proven experience as an Executive/Team Administrator in an MNC/high matrix organization.
  • English language fluency.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, capable of interacting with individuals at all levels of the organization.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Detail-oriented and able to maintain accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong problem-solving skills with the ability to multitask and adapt in a fast-paced environment.
  • A positive attitude and exceptional interpersonal skills, coupled with a customer service-oriented approach.
  • Minimum education level: Diploma in business administration, management, or a related field is preferred.
  • Previous experience in working effectively in a team-oriented and collaborative environment.
