The Role
We're looking for a highly capable and proactive Executive Administrator based in Sydney to support our CEO and provide assistance to the Leadership Team. This role requires someone who can operate independently, think strategically, and move quickly.
You'll manage the CEO’s day-to-day priorities while also supporting other members of the leadership team and providing light office management. Our Founder and CEO is creative and highly technical, and you will play a critical role in helping him stay focused on business priorities.
You’ll thrive here if you're comfortable working in ambiguity, confident making decisions with limited direction, and skilled at navigating a fast-moving, evolving environment. Strong proficiency in traditional office applications, coupled with a willingness and aptitude to adopt new technologies (including AI), will help you succeed in this role.
What you will do;
Serve as a strategic and administrative partner to the CEO—managing scheduling, inbox, travel, and daily priorities.
Act as a gatekeeper for the CEO’s time, prioritising competing demands and requests, while anticipating needs to keep the CEO focused on what matters most.
Assist in managing CEO's direct report's PTO records and ensuring communication flows (PTO requests, 1:1 meetings, performance management cycles, feedback loops).
Prepare agendas, track follow-ups, and ensure execution on key items.
Draft, review, and organise key documents, presentations, and communications.
Manage and coordinate CEO travel and periods of absence (incl internal communication thereof, as appropriate).
Organise and coordinate management offsites and leadership events, in partnership with People Experience.
Manage relations with the Board, including scheduling of quarterly board meetings and board dinners. Ensure board packs and related papers are sent out (and received) sufficiently in advance of the meeting.
Oversee day-to-day operations of the Sydney office, including supplies, facilities, and liaison with April Group
Support onboarding of new hires into the Sydney office.
Partner with the People Experience team to plan and deliver monthly in-office socials that build engagement and culture.
Act as the go-to contact for employees with office-related needs.
Provide ad hoc diary support for the Chief Financial Officer.
Help coordinate in-person leadership meetings and events.
Offer flexible support to other leadership team members as capacity allows.

What you’ll bring;
5+ years’ experience in a Senior Executive Assistant, Executive Administrator, or Office Manager role.
Proven ability to work autonomously and adapt in a dynamic environment.
High level of discretion, organisation, and attention to detail.
Strong written and verbal communication skills. Positive energy and a ‘can do attitude’
Strong presentation design skills (PowerPoint, Google Slides, Canva) with a sharp eye for layout and detail.
Demonstrated comfort collaborating across all levels of an organisation.
Based in Sydney, with flexibility to work from the office several times per week.
Familiarity with Google Workspace, Microsoft Office, Slack, Canva, and Monday.com. Knowledge of Jira and Confluence is a plus.
Experience in high-growth tech or startup environments is also a plus!
