We are seeking an Executive Assistant & Operations Specialist to provide high-level support to senior regional executives while driving operational excellence across APAC and Latin America.
This unique role blends Executive Assistant responsibilities (40%) with strategic coordination and project management (60%), making it ideal for a professional who thrives in a fast-paced, matrixed environment and enjoys influencing outcomes across diverse geographies.
What You’ll Do.
Executive Support
Manage complex calendars across multiple time zones for senior executives.
Coordinate international travel, visas, and documentation.
Process and reconcile expenses and invoices with precision.
Oversee APAC Head Office and ANZ travel bookings and approvals.
Organize quarterly APAC Leadership Team meetings and ensure seamless logistics.
Commercial Operations
Track and report KPIs across sales, marketing, and customer service.
Support execution of strategic plans and emerging market initiatives.
Consolidate inputs for quarterly and annual reviews.
Coordinate commercial projects and strategic workshops.
Leverage tools like Salesforce, Asana, and Microsoft Office to streamline workflows.
Strategic Secretariat & Special Projects
Act as Secretariat for APAC Leadership Team meetings, including minute-taking and action tracking.
Lead special projects such as office relocations and strategic reviews.
Prepare executive-level presentations and briefing materials.
Own data management and reporting for regional initiatives.
People Leadership
Manage and develop the Team Assistant, APAC.
Foster a high-performance, collaborative culture.
What We’re Looking For.

Minimum Requirements
8+ years’ experience in executive support and commercial operations within a multinational or matrixed environment.
5+ years’ project management experience with cross-functional delivery.
Proven ability to operate at a senior level, supporting C-suite or regional leaders.
Strong business acumen across sales, marketing, and customer service.
Advanced proficiency in Microsoft Office Suite, CRM platforms (Salesforce), and project management tools (Asana, Trello).
Exceptional organizational, prioritization, and communication skills.
