  • Handle general professional administration with a high level of confidentiality and sensitivity

  • Coordinate internal and external meetings and conference calls (audio and video) regularly

  • Organize complex international travel itineraries and arrangements (flight, hotel bookings, visas)

  • Screen and respond to email communications (both internal and external)

  • Handle telephone/zoom calls efficiently

  • Maintain extensive diary management for scheduling

  • Perform monthly reconciliation of professionals’ expenses

  • Liaise with international offices, clients, and external consultants

Due to the nature of the business, this individual will also be responsible for marketing related tasks, including:

  • Fully engage, support and plan road-show efforts before (presentation materials, meeting organisation, travel, confirmations etc), during (e.g. logistics) and after (follow-ups, thank you notes, etc) the trips

  • Log and supervise marketing materials distributed to LPs, plan logistics for distribution

  • Support and help organize marketing and client events, dinner/lunches with LPs, presentations, and other promotional activities

  • Collaborate and support maintenance of databases, especially for Asian LPs

  • Co-ordinate and support with team in New York any NY-led initiatives

  • Creation of agendas, materials, etc for bi-weekly team meetings

Qualifications:

Blackstone seeks to hire individuals who work well in a team-driven working group, are highly motivated, intelligent, have sound judgment and have demonstrated excellence in prior endeavors. 

The successful candidate must have:

  • Office or project management experience OR solid experience with planning and organisational matters in a Financial Services environment, including:

    • Administrational & facilities tasks

    • Dealing with sales team/investors, IT and/or Finance matters

    • Event management

    • Prior SalesForce, Excel, PowerPoint experience is a plus

  • Superior communication and interpersonal skills

  • A high level of professionalism

  • Experience interacting with executives, professionals and clients

  • Ability to support multiple professionals, multitask and prioritize time-sensitive work

  • Exceptional time management and organizational skills

  • Fluency in English

  • Advanced proficiency in the Microsoft Office Suite

  • Ability to thrive in a small team environment
