Commencing in January 2026, as the Executive Assistant to the MD (Managing Director) you will act as a trusted advisor, collaborating with the MD on strategic projects, business planning, process roll out, and decision-making processes. In this role, you'll act as a trusted advisor, managing key projects, business planning, and decision-making processes while overseeing high-level administration and complex scheduling.

 

You’ll lead and develop the administrative team, foster a positive office culture, and drive initiatives to improve organisational efficiency. Responsibilities also include coordinating national conferences, events, and special projects, ensuring alignment with strategic goals and budgets. A key focus will be advancing the company’s Diversity, Inclusion, and Cultural agenda by implementing strategies to create a more equitable and inclusive workplace. 

Job Description

STRATEGIC SUPPORT TO MANAGING DIRECTOR

  • Act as a strategic partner to the MD, providing high-level administrative and operational support
  • Manage the MD’s calendar, prioritise tasks, and prepare materials for meetings
  • Draft and review reports, presentations, and confidential documents
  • Oversee the MD’s budget, track expenses, and provide insights for decision making
  • Lead the Business Planning process, ensuring the Australian Leadership Team achieves all key milestones.

 

ADMINISTRATIVE MANAGEMENT

  • Lead, mentor, and develop a high-performing administrative team, fostering a collaborative and productive work environment
  • Set clear performance expectations, provide regular feedback, and support the professional growth of team members
  • Oversee office operations, budgets, and resource optimisation for efficiency
  • Supervise the Office Coordinator and Administrative Assistant to ensure high service standards
  • Streamline processes and implement best practices to improve administrative effectiveness

 

WORKPLACE INCLUSION

  • Oversee the company social calendar
  • Drive initiatives that improve employee morale and engagement, creating a workplace where team members feel valued and motivated
  • Foster an inclusive workplace culture through engagement activities
  • Drive initiatives that celebrate cultural diversity and promote a sense of belonging among all employees

 

CONFERENCING AND EVENTS

  • Oversee event logistics, including seamless travel arrangements for the MD and guests
  • Work with the MD to plan and deliver national conferences and events, managing logistics within budget
  • Successfully manage and execute special projects in collaboration with the MD, achieving set standards and deadlines
  • Coordinate schedules, agendas, and action items to ensure the Australian Leadership Team operates efficiently
  • Streamline processes and implement best practices to boost the administrative team's productivity

Qualifications

Previous experience being an EA to MD or C-Suite of a multinational corporation 

The proven ability to expertly manage time and multiple competing priorities

Experience with Budget Management, Event Planning, Managing, and Coordinating

Strong interpersonal skills to foster relationships with team members, executives, and partners

Possess strong negotiation skills to collaborate with stakeholders, achieve consensus, and drive initiatives forward
