About the Role

We're looking for a right hand to our founders - someone incredibly organized who will grow with us and, for the right person, has potential to evolve into a Chief of Staff or a different senior or even c-level role for the right person as we scale.

This is a full-time position working directly alongside Ciaran Finn and Evan Carroll, two high-energy agency founders who move fast, think big, and need someone brilliant behind the scenes keeping everything together in an organized and efficient manner. They are big-picture thinkers, not detail people - that's why this role exists and why it matters so much.

Ciaran and Evan invest heavily into those around them. The last person who worked this closely with them is now COO of Linear Agency, so there is genuine growth opportunity for the right person long-term.

This role is fully remote, with the opportunity to travel and work in person as Ciaran and Evan travel and host events around the world (Miami, Dubai, Europe, etc).

What You'll Be Doing
  • Managing calendars and inboxes for both Ciaran & Evan
  • Supporting both founders with personal organization, travel booking, hotel arrangements, meal planning/prep coordination, personal events planning, and more
  • Supporting in the business with personal brand content needs, marketing and sales organization, hiring coordination, project planning inside the business, organizing and hosting mastermind events, and more
  • Being client facing and helping with talking directly to clients, onboarding clients, assisting clients in what they need (this will be for eCommerce clients inside the eCommerce agency, as well as for agency owners who are clients inside our agency mentorship business)
  • Handling general business admin and keeping operations running smoothly
  • Being the connective tissue across everything - nothing falls through the cracks on your watch
  • You will be keeping track of Ciaran & Evan’s to do lists and helping them organize their tasks and weeks, so you must be incredibly organized and detail oriented (if you aren’t obsessed with task managers or lists or organizing things neatly and properly with nothing slipping through the cracks then this isn’t for you)
What We're Looking For

We don't care about your CV. We care about you.

No executive assistant experience required. This is entirely about personality, work ethic, and fit. An ex-project manager, ex-ops role, or anyone from a detail-heavy, process-driven background will slot right in - but honestly, if you have the right qualities, background doesn’t matter at all and we'll figure the rest out together.

The organized side of you:

  • Your clothes are probably organized by color in your closet
  • You probably own an unreasonable number of labeled plastic boxes and see absolutely nothing wrong with that
  • Your friends probably joked that you were by far the most organized person in the friendship group
  • Systems, processes, and checklists bring you genuine joy
  • I could ask you to load up any area of your life (eg maybe personal tasks, health and fitness, hobbies or trips planned etc) and it’s probably neatly organized and planned in a Notion board or a task manager or some kind of a color coded organization management system with various filter views
  • You cannot mentally leave a task half-done
  • You take pride in doing things the right way, and in a way to add extra value / make things extra special because you can, not just doing things the fastest way

The human side of you:

  • You're adaptable - when the plan changes (and it will), you pivot without missing a beat
  • You're positive energy and bring great vibes to every interaction
  • People genuinely enjoy being around you
  • You can be deep in a task manager one hour and laughing over dinner on a work trip the next

Evan & Ciaran big-picture and people-first. You need to be the organized, detail-obsessed version of that that keeps Ciaran & Evan on time, on track, organized and tidy.

The Reality of This Role

This is not a 9-to-5. Ciaran and Evan move fast and operate across various time zones. You'll need to be available often in evenings or weekends - and be genuinely all-in. EST hours are required but sometimes this may change slightly too.

In return, you'll have a front-row seat to how growing businesses in the online space operate, real responsibility from day one, the chance to travel the world with Ciaran & Evan, and a clear path to grow into something much bigger with direct investment into you from Ciaran & Evan.

Competitive salary, dependent on experience and fit. This role is extremely important and we'll compensate accordingly.
