About the Role (your why)  

As a detail-oriented Executive Assistant, you will report directly to the Executive Assistant to the Managing Director. In this role, you will be supporting 3-4 executives and working closely with the two Executive Assistants who currently support the Leadership team.

Our office is based in North Sydney, and we like to bring people together in person when we can, but we are mindful of the benefits of working from home for work/ life balance. This is a Hybrid working role working 2-3 days per week in the office plus additional days as required for supporting internal and external events.

What you’ll do   

The Executive Assistant is responsible for (but not limited to):

  • Coordinating the organisation of business functions, lunches and dinners
  • Provide executive-level administrative support for the Directors, proactively anticipating their needs, including highly efficient and confidential diary management and travel arrangements.
  • Manage communications by screening emails, determine which are a priority and advise matters requiring attention, with associated deadlines, and relevant documentation. 
  • Independently deal with matters requiring attention, action on behalf of the Directors or refer them to the appropriate person.
  • Ensure all requests are actioned in a timely and professional manner, including preparation, collation and distribution of documents and correspondence, and arranging meetings.
  • Create presentations and documents using the Microsoft Office Suite, as well as proof reading business critical documents and ensuring they are professionally worded and presented.
  • Plan the operating rhythm for internal and external meetings and facilitate these including preparing agendas, documents, minutes, and following up on actions.
  • Work collaboratively with the virtual team of Executive Assistants across the business.
  • Supporting the Executive Assistant to Managing Director when required

What you’ll bring  

  • Strong administration background with 1 to 2 years’ experience as an Executive, Personal  or Team Assistant ideally working within an IT organisation
  • Ability to liaise at an executive level and to work under pressure
  • Previous experience supporting others' schedules and priorities
  • Familiarity with financial management and invoice preparation
  • Strong interpersonal, communication and negotiation skills. Exceptional corporate presentation and excellent people management skills
  • Ability to demonstrate strong organisation and time management skills
  • Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
  • A proactive and flexible approach to work
  • Discretion and tact when dealing with confidential, commercially sensitive, and personal information.
  • Proficiency in Microsoft Excel, Word, Teams and PowerPoint
