Note this position will be based out of our Banksmeadow and Villawood sites.Role Purpose

The Executive Assistant (EA) will support two leaders and provides high-level administrative and strategic support to senior executives, enabling them to operate effectively and efficiently. This role requires strong organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Executive Support: Manage complex calendars, coordinate meetings, and handle travel arrangements for the executive team.

  • Stakeholder Management: Liaise with internal and external stakeholders, including senior leadership, board members, and key business partners.

  • Meeting Coordination: Prepare agendas, take minutes, and ensure follow-ups on key actions from leadership meetings.

  • Document Management: Draft, edit, and review reports, presentations, and communications on behalf of executives.

  • Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.

  • Operational Efficiency: Identify opportunities for process improvements and assist in strategic initiatives to enhance executive productivity.

  • Project Support: Assist in the planning and execution of business projects, providing administrative and coordination support.

  • Expense & Budget Management: Track expenses, process invoices, and manage budgets related to executive activities.

  • Office & Event Coordination: Organise corporate events, team offsites, and internal functions as required.

  • Strong organisational and time management skills with the ability to prioritise tasks.

  • Excellent verbal and written communication skills.

  • High level of professionalism and discretion in handling confidential information.

  • Ability to anticipate needs and proactively provide solutions.

  • Strong attention to detail and problem-solving abilities.

  • Ability to build relationships and work effectively with diverse teams.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with digital collaboration tools.

  • Flexibility and adaptability in a dynamic, fast-paced environment.

Qualifications & Experience
  • Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.

  • Experience supporting senior executives in a corporate environment, preferably within transport, logistics, or a related industry.

  • Demonstrated ability to manage multiple priorities and deadlines.

  • Experience in event coordination and stakeholder management is desirable.
