About the role
We are seeking a highly organised and experienced Executive Assistant to provide comprehensive administrative support to our executive team on a 12-month fixed-term contract. The ideal candidate will have exceptional communication skills, strong attention to detail, and the ability to anticipate the needs of senior executives in a fast-paced environment.
This role requires a proactive, adaptable, and resourceful professional who can manage a wide range of responsibilities with discretion, professionalism, and confidence while building trusted relationships with senior stakeholders.
The role is based in Sydney and operates on a hybrid model, with 3 days per week in the office and 2 days working from home.
Job Description- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements for multiple executives
- Coordinate and prioritise incoming requests and messages, ensuring timely responses and follow-up actions
- Prepare and edit correspondence, presentations, and other documents on behalf of senior executives
- Act as a liaison between senior executives and internal/external stakeholders, including clients, partners, and vendors
- Attend meetings, take detailed notes, and distribute meeting minutes as needed
- Conduct research and gather information to support decision-making processes
- Assist with special projects and initiatives as assigned, collaborating with cross-functional teams as necessary
- Plan and organise team events, such as all hands off-site meetings, retreats, and team-building activities, to promote collaboration and morale
- Coordinate team-based reward and recognition programs to acknowledge and celebrate the achievements and contributions of team members
- Maintain confidentiality of sensitive information and exercise discretion in handling executive matters
- Anticipate and proactively address potential issues or conflicts, demonstrating problem-solving skills and sound judgment
- Provide support to other members of the administrative team as needed
Qualifications
- Will have a minimum of 3 years’ experience as an Executive Assistant supporting C-suite executives.
- We are flexible on industry exposure, however coming from a fast-paced environment is highly desired
- Excellent computer skills, including the Microsoft Office Suite, Slack, Confluence and Jira
- Exceptional writing, editing, and proofreading skills
- Excellent organisation and time-management skills
- Background in events highly regarded
- A track record of excellence in high-performance settings
