About the Role

We are looking for someone with a positive attitude who is passionate about providing a great experience for callers, visitors and colleagues to join our Sydney Head Office Team and lead our Front Desk. Sometimes it’s the little things, like a well-presented room, or a polite and helpful voice on the other end of the phone that can make the difference to someone’s experience.

We celebrate success within the business and encourage the team to speak up with ideas and suggestions for improving our processes and service to clients. This role at DUAL requires someone who can thrive in a fast-paced environment, takes initiative to anticipate challenges and finds innovative solutions to improve office operations.

Multi-tasking is essential in this role, managing the everyday tasks with more urgent and immediate tasks as needed. This role requires the ability to juggle and prioritise even when under time pressure, including:

  • Fielding incoming calls and enquiries
  • Welcoming visitors and colleagues with a warm and positive experience
  • Maintaining the immaculate presentation of our lively office, including; the smooth operation of our staff breakout area, organisation and support of many events and staff comms, support of office maintenance support of the Sydney Sustainability team and managing stationery stock levels
  • Setting up meeting rooms for multiple daily bookings. This includes arranging catering, offering refreshments, setting up AV and clearing the room after meetings have concluded for the next booking
  • Collecting the mail and distributing electronically
  • A variety of administration tasks including assisting the finance team with remittance emails and vendor verification, the underwriting team with general filing and administration, checking closings and assisting other departments ad hoc.

About You

This role will suit someone who enjoys working independently but also working as part of a close-knit team. The ideal candidate needs to be adaptable and able to multi-task and with excellent communication skills both written and verbal and with professional presentation. As a key member of our team, this role needs someone who is adaptable, proactive, and willing to assist with both routine and ad hoc tasks as needed. These may include everything from refreshments presentation (ie morning teas) and maintaining the kitchen (including stacking the dishwasher) all the way through to preparing for meetings and events. A great personality is key as you are the first point of contact for staff, clients and visitors alike. We are looking for someone who is professional, positive, enthusiastic, welcoming and fun.
