Job Description

An exciting opportunity exists for a Groups Coordinator, Pacific to join our Commercial team in Sydney. 

The role provides vital support to Accor’s Group Travel Sales Team, assisting the Key Account Director, Key Account Managers and the wider team to ensure the efficient execution of group processes and initiatives. This role manages the group enquiry lifecycle following the Groups standard operating procedures, maintaining accurate data across systems, and coordinates rate loading and distribution activities. Acting as a central point of communication between hotels, clients and internal stakeholders, the position delivers technical and administrative support and ensures timely responses. By streamlining processes and enabling operational efficiency.  

Getting to know the role and your responsibilities 

  • Manage the full lifecycle of group enquiries, from initial request from managed and non-managed accounts through enquiry rate loading via ANAIS (CRM) and distribution to hotels. 

  • Support the KAD and KAM to complete RFP process for group travel accounts, including data collection, rate setup, and tracking to meet global requirements. 

  • Co-ordinate the team block requirements for key sporting partnerships along with any additional ad hoc group requirements. 

  • PCO & Managed Accounts - Enquiry Qualification to ensure the best fit for our client requirements.  

  • Maintain accurate CRM data and prepare detailed reports on RFP progress, rate audits, and performance metrics for leadership review. 

  • Support Key Account Director and team with tender documentation, client presentations and compliance checks to ensure timely delivery. 

  • Manage shared inboxes for group enquiries, prioritising tasks and ensuring timely responses to internal and external stakeholders. 

  • Ensure that all Accor guidelines in terms of group reporting are followed and implemented by the team. 

  • Organise and support client visits, site inspections, and familiarisation trips. 

  • Handle customer or agency enquiries related to group bookings promptly and escalate as needed. 

  • Contribute ideas to improve efficiency and client engagement within the sales function. 

  • Assist with implementation of sales and distribution projects as directed by the Key Account Director, ensuring alignment with strategic objectives. 

  • Coordinate annual processes such as rate loading, tender submissions, and TMC loading for contracted Entertainment and Sport accounts. 

Qualifications

What we need from you

  • Certificate in Business, Hospitality, or related field (preferred but not mandatory). 

  • 1–2 years’ experience in a sales support or coordination role, preferably in hospitality. 

  • Excellent organisational and time management skills with the ability to handle multiple priorities. 

  • Proficiency in CRM systems and Microsoft Office tools, especially Excel and PowerPoint. 

  • Clear and professional communication skills, both written and verbal. 

  • Strong attention to detail and accuracy in administrative tasks.
