Position Overview
The National Operations Manager will be a key support role within the Tenant Advisory team, responsible for ensuring the smooth operation of day-to-day business and transactions. This role involves comprehensive administrative support, as well as assisting the Managing Director with financial and operational reporting. The successful candidate will work closely with various stakeholders across the business to maintain effective communication and facilitate operational excellence.

Responsibilities
Database Management: Maintain and update critical databases, including Salesforce (ENGAGE 2), ensuring accurate data entry and reporting.
Documentation & Reporting: Format, prepare, and submit reports, correspondence, and presentations, ensuring all communications are aligned with company standards.
Expense Management: Oversee the submission of agent expense claims and ensure proper archiving of documentation.
Coordination & Communication: Distribute RFDs/RFPs to appropriate parties and manage internal and external communication for efficiency.
Event Support: Assist in the planning and coordination of corporate events, presentations, and client meetings.
Operational Reporting: Generate and review WIP (Work In Progress) reports to assist with accurate forecasting and strategic planning.
Recruitment & Onboarding: Assist with the recruitment process by creating job requisitions, working with HR to advertise and onboard new hires.
IT and Facilities Management: Manage IT issues and communicate with the IT department to resolve queries on behalf of the team.
Meeting Coordination: Organize and run state and national meetings, taking minutes and ensuring follow-up on action items.
Key Skills and Qualifications
Proven Experience: Previous experience in an administrative or operations support role, preferably in real estate or a related field.
Organisational Expertise: Strong ability to manage multiple tasks simultaneously, with a keen attention to detail.
Communication Skills: Excellent written and verbal communication skills, with the ability to engage with diverse stakeholders.
Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and experience with Salesforce or similar CRM systems.
Discretion & Integrity: Ability to handle confidential information with professionalism and discretion.
Self-Motivated: A proactive and results-oriented approach to managing day-to-day responsibilities.
Educational Background: A Diploma or Certificate in Administration is highly desirable.
