Are you an organised  with exceptional diary management skills and proven experience running the day to day operations of a busy office? Do you thrive juggling multiple priorities and supporting senior leaders while keeping a team running smoothly? If so, we’d love to hear from you! 

At Burson Group AUNZ, a global leader in communications and reputation management, we’re on the lookout for a highly capable Office Manager & Team Assistant to support our teams across Burson, Hawker Britton, and Barton Deakin. 

This hybrid role offers the best of both worlds, supporting senior executives through expert calendar and travel coordination, while also overseeing the smooth running of our offices and helping to create a positive, well organised work environment for the whole team. 

 What you’ll do: 

Executive & Team Support 

  • Manage complex calendars, schedules, and domestic/international travel for senior executives 
  • Prepare high quality documents, presentations, meeting agendas, and minutes for executive level engagements 
  • Help prioritise stakeholder schedules and provide guidance on calendar management and meeting alignment 
  • Coordinate internal events, client meetings, workshops, and team engagements 
  • Support leadership initiatives by managing project logistics and overseeing document approval processes 
  • Monitor and reconcile executive and team expenses on a monthly basis 
  • Assist with timesheet approvals and provide general administrative support to senior leadership 

 

Office & Operations Management 

  • Oversee daily office operations including supplies, mail, couriers, catering, and reception coordination 
  • Manage facilities, office layout changes, IT assets, and vendor accounts 
  • Maintain accurate records including asset registers, locker lists, and distribution lists 
  • Drive culture initiatives, team celebrations, and uphold office policies 

HR & Onboarding Support 

  • Coordinate onboarding and offboarding processes in collaboration with HR 
  • Arrange IT access, office setup, inductions, and welcome announcements 
  • Schedule and track staff training across systems and platforms 
  • Maintain organisational charts and the New Starter Guide 
  • Organise employee milestones such as anniversaries and team events 

Finance & Systems Administration 

  • Ensure SOX compliance and support finance with reconciliations, summaries, and reporting 
  • Manage corporate card and Uber Business accounts, purchase orders, and invoice approvals 
  • Maintain client and supplier data within finance systems and track business development activity 

 

Experience that contributes to success 

  • At least 5 years of executive assistant support experience, with a strong track record of managing complex diaries and calendars 
  • Proven experience in office management, including coordinating office operations and managing stakeholder needs 
  • Exceptional diary management and calendar coordination skills, with the ability to prioritise tasks effectively 
  • Experience managing multiple stakeholders and competing demands 
  • Strong multitasking skills and a proactive, solutions oriented mindset 
  • Excellent communication skills and professionalism
