We are partnering with a privately owned Australian investment group that is entering a new stage of growth. With a portfolio of well-known retail destinations, the business is investing in the people and systems behind the scenes, starting with the head office and the person who will run it.

The role

This is an office management role with light executive support. The work does not arrive in a neat queue.

The leadership team is self-sufficient. They book their own diaries and manage their own inboxes. What they want is someone who takes work off their plate: the supplier negotiations, overall facilities, the function that needs organising. You will own the running of a head office and keep a second office in line.

When it works well, nobody in the business thinks about the office at all. That is the standard.

What you will do
  • Take ownership of the contracts and suppliers behind the office, including electricity, telecommunications, IT support and insurance, comparing options and negotiating instead of accepting renewals

  • Run the office day to day: stationery, kitchen and amenities, maintenance, building management, meeting rooms and deliveries

  • Lead the receptionist, own the daily office routine and make sure it is done properly, stepping in to cover reception when needed

  • Run onboarding for new starters, from workspace and equipment setup, including laptops, to inductions

  • Plan events, functions and catering

  • Support the senior leaders with bookings and travel, document preparation, DocuSign and ad hoc requests

  • Chase the things that need chasing, and pick up work that is on no list, including supporting events and marketing activity across the retail destinations

What you will bring
  • Several years running an office or supporting senior people in a private or owner-operated business

  • Experience managing suppliers and contractors, and the confidence to challenge a price

  • Sound judgement on the basics. You know how to find an energy retailer or sort an IT problem without being shown.

  • Clear, professional communication with leaders, staff, visitors and suppliers

  • Comfort with Microsoft 365 and the ability to pick up new systems without hand-holding

  • A stable career history, with tenure that shows you finish what you start

Who you are

You like a wide remit. You do not need every task defined before you start, and you prefer to resolve a problem instead of escalating it. You take satisfaction from being the person the whole office relies on.

You are comfortable owning a supplier contract from comparison to signature, leading a receptionist and working alongside them, and moving between several different tasks in the same day.

This role suits someone who is at ease without a fixed job description. If you prefer a tightly defined scope with clear boundaries, it will not be the right fit, because the work changes with what the business needs.

Why you will love working here
  • Direct access to the people who run the business, in a small owner-led team with no layers between you and the decision-makers

  • Real ownership. The contracts, suppliers and systems are yours to improve, not just administer.

  • A breadth of exposure that most office roles do not offer: operations, procurement, onboarding and events in the same week

  • A role that grows as the business grows, with more of the business and the team landing on your desk

  • A leadership team that is clear about what it wants and backs the person who delivers it
