Your Title: Order Administration Support  (Bilingual Japanese/English)

What You Will Do:

As an Order Administration Support, you will be an essential part of the order-to-cash cycle responsible for supporting APAC business divisions, specifically Japanese speaking, by creating, managing and maintaining an accurate record of our global customer database.  Your role involves collaborating with various departments, including sales, customer service, logistics, and finance, to ensure a seamless order-to-cash process. You will play a critical role in maintaining customer satisfaction, business division support, trade and revenue compliance and contributing to Trimble’s overall success.

Job Responsibilities:

  • Customer Data Management: Help manage the creation, maintenance, and accuracy of customer master records in our database. This includes capturing and revising relevant information such as contact details, billing and shipping addresses, and other pertinent data to ensure information is up-to-date.

  • Data Validation: Identify and rectify discrepancies, inconsistencies or duplications in the system.

  • Process Improvement: Make recommendations to team leadership where there are inefficiencies or opportunities for possible improvements to existing data validation processes.

  • Collaboration: Work with cross-functional teams, including sales, marketing, finance, and customer service to gather and validate customer information. Communicate and interact both professionally and effectively to resolve data-related issues and provide support when required.

  • Compliance: Ensure compliance with company policies and procedures, as well as localization requirements when applicable, related to customer data and data privacy.

  • Escalation: Escalate unresolved or complex cases to team leadership for assistance.

  • Customer Satisfaction: Strive to meet or exceed customer satisfaction targets by addressing concerns promptly, demonstrating empathy, and contributing to a positive overall customer experience.

  • Complex Merge Cases: Analyze & make decisions about whether or not to merge accounts in complex situations. Work to get appropriate approvals and process the merges when appropriate, or offer alternative solutions so there is a positive outcome for the customer.

  • System Enhancements: Actively participate in system enhancement projects and initiatives related to customer master data management, including testing and providing feedback as necessary. 

What Skills & Experience You Should Bring

  • Fluent in Japanese & English (reading, writing & speaking)

  • Strong familiarity with and understanding of Japanese culture

  • High level of integrity and commitment to maintaining data confidentiality

  • Some experience in customer data management or a similar role, preferably in a large-scale organization, with strong customer service and data entry experience  is highly preferred.

  • Some experience using customer relationship management (CRM) systems and other data management tools  is highly preferred.

  • Experience with Google Chrome, Gmail, Google Apps, Microsoft Office/Suite, Data Load a plus.

  • Strong attention to detail and ability to handle large volumes of data accurately

  • Advanced problem-solving and trouble-shooting capabilities

  • Analytical mindset with the ability to identify data patterns and trends

  • Demonstrated strong organizational skills and the ability to prioritize tasks effectively

  • Adaptability: Willingness to adapt to changing business needs and a fast-paced environment.
