About the role

An exciting opportunity to be part of Perpetual Asset Management as a Personal Assistant and Team Coordinator. You will be providing high-level administrative, secretarial, and coordination support to the Head of Equities, as well as the broader Equities Team.  

Perpetual Asset Management is a global multi-boutique asset management business offering an extensive range of specialist investment capabilities through seven boutiques and brands in key regions globally. Within Australia, Perpetual and Pendal have a broad range of capabilities across Australian and global equities, credit, fixed income, multi-asset and ESG. We have a growing presence in the US, UK and Europe through our brands Barrow Hanley, Trillium, JO Hambro, Regnan and TSW.

About the Role

Join our dynamic team at Perpetual Asset Management as a Personal Assistant and Team Coordinator., you will:

  • Deliver comprehensive administrative support to Head of Equities and Equities Portfolio Managers.

  • Facilitate effective communication and coordination within the team and with external stakeholders.

  • Proactive coordination and administration of all aspects of the Head of Equities’ work schedule, including:

    • Calendar Management.

    • Internal and external meetings and related board requirements, including preparing agendas, taking minutes, and following up on action items.

    • Management of travel arrangements, credit card reconciliations, and team expense management.

    • Booking travel, accommodation, and arranging conferences/workshops.

    • Monitoring and screening incoming calls, emails, and general correspondence.

    • Preparation of presentations, business documents and reports. Draft and proofread documents, presentations, and reports.

  • Provide similar services to Equities Portfolio Managers, with priority given to the Head of Equities.

  • Provide administrative support for team projects, including tracking progress, managing timelines, and coordinating resources.

About you

We’re looking for someone with:

  • Secretarial/administrative qualifications.

  • Tertiary qualifications preferred.

  • Minimum 5 years in an Executive/Personal Assistant role.

  • Experience in the financial services industry desirable.

  • Demonstrated experience working independently, proactively, and displaying initiative.

  • Experience working in a highly confidential environment.

  • The ability to anticipate needs and take initiative.

  • Exceptional Organisational and Time Management Skills.

  • Excellent Written and Verbal Skills as well as a high attention to detail.

  • Ability to interact effectively with individuals at all levels, both within and outside the organisation.

  • Advanced Microsoft Office Skills: Proficiency in Word, Excel, PowerPoint, and Outlook.

  • Effective time management and the ability prioritise tasks to meet tight deadlines, ensuring all critical activities are completed on schedule.
