Qantas Airways is seeking a highly organised and detail-oriented PMO Coordinator to join our Payroll Transformation team. This role is critical to the successful delivery of the KangaRise (Payroll Transformation) Program, which aims to replace legacy award interpretation and payroll systems with ADP GlobalView, ADP Workforce Manager, and a Crew Award Interpretation solution. Are you an experienced PMO Coordinator looking to make a real impact in a high-profile transformation program? Join Qantas Airways as a PMO Coordinator and play a pivotal role in supporting with one of the largest payroll transformation initiatives in Australia, impacting over 19,000 employees.

What you’ll be doing:

  • Maintain comprehensive program documentation, coordinate meetings, prepare agendas, record minutes, and manage program filing systems.
  • Track program progress, maintain dashboards, prepare reports, monitor budget expenditure, and coordinate status updates.
  • Support resource planning, manage team assignments, liaise with HR and Procurement, and track contractor engagements.
  • Maintain vendor contact lists, support communication activities, manage logistics for vendor meetings, and assist with training schedules.
  • Maintain risk register, support quality assurance activities, coordinate with Payroll Compliance & Remediation team, and ensure compliance with governance requirements.
  • Manage program mailboxes, update SharePoint sites, coordinate with IT teams, support data migration, and maintain knowledge repository.
  • Identify opportunities to streamline processes, support program reviews, share best practices, and assist with program closeout activities.

What you’ll bring:

  • Minimum 3-5 years' experience in program/project coordination within large transformation programs, preferably in regulated industries.
  • Bachelor’s degree in business, Project Management, or related discipline is desirable. Project Management certification (e.g., CAPM, PMP) is also desirable.
  • Advanced proficiency in Clarity project management tool and SharePoint platforms.
  • Excellent written and verbal communication skills with the ability to interact professionally with all levels of management.
  • Strong analytical skills with experience in creating dashboards and management reports.
  • Proven ability to manage multiple competing priorities in a fast-paced environment.
  • Experience with change management principles and stakeholder engagement.
  • High level of attention to detail and accuracy in documentation and reporting.
  • Ability to work independently whilst maintaining strong team collaboration.
  • Proficiency in Microsoft Office Suite, particularly Excel for data analysis and PowerPoint for presentations.
  • Understanding of project management methodologies including Agile and Waterfall approaches.
