The Production Coordinator plays a pivotal role in supporting the facilitation and delivery of integrated creative projects across digital, video, experiential, events and multi-channel campaigns. This position combines the organisational precision of production management with the strategic oversight of project leadership — ensuring every project runs seamlessly from concept through to completion.
As a key member of the production management team, the role will balance hands-on coordination with proactive problem-solving and stakeholder management. Working closely with creative, account, and project management to scope, plan, and deliver work that meets the highest standards of quality, timeliness, and budget efficiency.
Operating within a collaborative and fast-paced environment, the role blends strategic oversight of production partners with day-to-day logistics management. It emphasises clear communication, structured coordination, and the ability to anticipate challenges, risk and opportunities with a solutions-oriented mindset. Cultural understanding and adaptability are central to success, enabling the role to bridge diverse teams and client expectations seamlessly
Key Responsibilities:
- Assist Head of Production and senior producers in coordinating shoot logistics and admin tasks, including call sheets, permits, insurance, travel, catering, compliance, and expenses.
- Manage own productions not limited to shoots – i.e. edits, design campaigns and small-scale events and experiential initiatives: schedule, book, and manage freelance crew, locations, props, equipment, and other production resources.
- Quality control and validate production requirement briefs provided by Account Management and Project Management teams – ensure all mandatory requirements are provided correctly and clearly and help inform any gaps in information.
- Track production timelines and maintain detailed documentation across all phases of production: liaise with suppliers, vendors, and external partners to ensure seamless execution.
- Assist Head of Production and Senior Producers in scoping and estimating production requirements, in collaboration with Creative and external partners.
- Coordinate pre-production meetings
- Act as the central point of contact for internal teams and external partners, ensuring clear communication and alignment at every phase of production.
- Partner with Project Management, Account Management teams and specialist resources to ensure successful delivery against client assignment and scoped deliverables.
Skills & Attributes:
- A 3-year degree or equivalent work experience
- Minimum 3 years of production management experience in an integrated marketing/PR agency, events or production company.
- Demonstrable knowledge of production processes, workflows, tools and methodologies
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic knowledge of standard production, editing and post-production software and tools (Frame.io, Adobe Creative Cloud, etc.).
- Self organisation, problem solving & time management skills with delegation and performance management.
- Ability to deliver work with a great sense of agility, resourcefulness and accountability for owned tasks and deliverables.
- Exhibit excellent attention to detail and the ability to prioritise tasks and manage time effectively without direction.
- Solid understanding of project budget allocation and management, with the ability to track and reconcile project expenses in real-time, flag risks and actively seek guidance from Head of Production and Senior Producers on managing potential risks.
- Ability to anticipate and address client and internal needs to deliver exceptional service.
