About the role

As our company grows, we have an emerging need within our Program Management Office for a highly organized and detail-oriented Program Management Coordinator.  This role will focus on the capture and execution of our external engagements across our global team - from crafting competitive responses, to driving milestone execution and everything in between - this role will help shape the future direction of our cutting-edge quantum technology work. 


The Program Management Coordinator role will be a key, cross-functional role under the Program Management Office within the Operations team. This operationally-driven team transcends administrivia and bureaucracy to “get stuff done.”  We lean on automation, data, and innovation to meet our charge of scaling ahead of our growth.


What you'll be doing:

Opportunity response

  • Working across our global company with teams such as Research, Product, and Sales, serve as proposal coordinator for responding to identified opportunities.
  • Liaising with internal and external stakeholders such as Marketing and Finance, teaming partners, and global funding agencies to gather necessary information.
  • Maintain opportunity tracking and metrics for internal reporting.

Opportunity execution

  • Work with internal team members, and liaise with funding agencies, partners, and customers to ensure timely delivery of all deliverables.
  • Work with Operations and Finance teams to ensure accurate and detailed financial planning of budgets and recording of expenditure.
  • Undertake risk management using standard project management precepts throughout the engagement life cycle and prepare and track treatment plans.

Ideally you'll have:

  • A science-focused degree or equivalent industry experience.
  • Two to three years of direct project coordination experience, especially supporting hardware engineering or product development work.
  • Direct experience responding to external funding opportunities such as grants, proposals, tenders, or other funding announcements.
  • Experience communicating with a range of stakeholders including researchers, operations, finance, and executive staff to coordinate tasking of multiple simultaneous project deliverables.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment with evolving priorities. 
  • Ability to synthesise complex technical jargon into pithy, compelling proposals and post-award presentations.
