About the role
Wakulda is a world-leading Air Defence command and control (C2) system. It is a network-centric, ground-based air surveillance and control capability that supports C4ISR activities to conduct surveillance and manage the air battlespace, deliver defensive and offensive Counter-Air operations, and provide air battlespace management training.
We are looking for a proactive Project Administrator to join the Wakulda Program Management Office. You will work alongside the Program Manager at Williamtown (NSW) to help deliver this mission-critical system. This is an excellent opportunity for an organised, detail-focused professional to contribute to a high-visibility defence program.
This is a 6 month appointment to cover parental leave until December 2026
Responsibilities
  • Provide day-to-day administrative and coordination support to the Program Management Office.
  • Maintain program schedules, track milestones and manage action/decision logs.
  • Prepare, proofread and distribute program documentation, reports and meeting minutes.
  • Coordinate meetings, workshops and stakeholder briefings (including travel and venue arrangements).
  • Maintain and update program records, registers and configuration documentation.
  • Facilitate communication between internal teams, contractors and external stakeholders.
  • Support risk and issue monitoring and help ensure follow-up actions are completed
  • Oversight and control of program specific administration tools and programs (JIRA, Confluence)

Skills & Experience
  • Proven experience in administrative or project support roles, ideally within defence, engineering, aerospace or similarly regulated environments, with 2+ years' experience.
  • Effective interpersonal and communication skills, both written and verbal, and the ability to work in a diverse team environment.
  • Strong organisational skills with an ability to manage competing priorities and tight deadlines.
  • Comfortable using MS Office suite (Word, Excel, PowerPoint, Outlook) and collaborative tools. Experience with Jira and Confluence is an advantage.
  • Professionalism, discretion and the ability to handle sensitive information.
  • Demonstrated knowledge and commitment to WH&S and workplace diversity.

Applicants must be Australian Citizens to meet Defence security requirements.
Successful candidates must hold a current Australian Government issued NV1 clearance or higher. BDA will sponsor and support this clearance.
