If you desire to be part of something special, to be part of a winning team, to be part of a fun team – winning is fun. We are looking forward to a Project Coordinator - Prefabrication & Integration PMO in Eaton’s ANZ Electrical Sector, based in Australia. In Eaton, making our work exciting, engaging and meaningful; ensuring safety, health and wellness; and being a model of inclusion and diversity are embedded in who we are — in our values, our vision and our clearly defined aspirational goals.

The Project Coordinator serves as the central operational and commercial support resource dedicated to the Prefabrication and Integration Project Management Office. The primary function of this role is to support the Project Manager and Project Engineer(s) in coordinating the execution of complex packaged solutions, modular assemblies, and integrated switchrooms from initial project setup through final closeout.

Operating across multiple internal departments, third-party fabrication partners, key component suppliers, and site service teams, the Project Coordinator manages purchase order creation, goods receipting, milestone tracking, logistics coordination, and financial month-end administration to ensure seamless project delivery. The Project Coordinator owns the responsibility for managing the assigned projects in Eaton's Enterprise Resource Planning tool (SAP) throughout the project lifecycle -- initiation, maintenance, and closeout.

What you’ll do

  • Deliver project coordination and operational support in accordance with the Project Management Office Delivery Model.
  • Assist the Project Manager and Project Engineer(s) with complete project setup, kick-off readiness, baseline administration, and maintenance of project folders and systems.
  • Create purchase requisitions and purchase orders in Enterprise Resource Planning systems (SAP) for third-party fabricators, equipment vendors, and site subcontractors.
  • Manage and track free-issued internal equipment and components shipped to external equipment manufacturing facilities and third-party fabrication yards to ensure on-time and complete delivery.
  • Expedite long-lead materials and fabrication milestones with suppliers, maintaining updated delivery status logs.
  • Assist the Project Manager in tracking financial baselines, monthly cost commitments, and project expenditure against approved budgets.
  • Prepare and verify invoice billing milestone supporting documentation, ensuring timely customer invoicing and tracking customer payment status.
  • Coordinate goods receipting for manufacturing and external fabrication milestones and subcontractor services within the appropriate timeline of completed work.
  • Collect, verify, and archive proof of delivery documentation for equipment packages delivered to manufacturing locations and external fabrication facilities, as well as customer project sites.
  • Assist in organizing transport logistics, freight booking, site delivery notices, and specialized transport documentation alongside logistics teams.
  • Maintain and update project schedules, progress trackers, and issue logs to support weekly operational reviews and fortnightly project status reports.
  • Coordinate with document controllers and project engineers to ensure all factory test records, manuals, and compliance documentation are collated for handover packages.
  • Support site coordination activities, including booking induction appointments, submitting site access forms, and dispatching site tools or replacement items.
  • Follow through on project closeout processes, closing open purchase orders, resolving supplier payment discrepancies, and finalizing archiving per company procedures.
Qualifications:
  • Trade, diploma or degree qualification in Business Administration, Project Management, Supply Chain, Logistics or a related discipline, or equivalent relevant industry experience.
  • At least two years of experience in project coordination, procurement administration or operations support within an electrical, manufacturing, construction or technical environment.
  • Experience with manufacturing, fabrication, modular packaging or multi-vendor equipment coordination is highly regarded.
  • Hands-on experience with enterprise resource planning systems, preferably SAP Project Systems and Materials Management.
  • Understanding of procurement workflows, purchase orders, invoicing, goods receipting and project cost administration.
  • Intermediate to advanced proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint; experience with Microsoft Project, SharePoint, Visio and Adobe Acrobat is desirable.
  • Strong written and verbal communication skills, with the ability to work effectively across internal teams, suppliers and other stakeholders.
  • Excellent organisation, prioritisation and multitasking skills, with the ability to work accurately under tight project deadlines.
  • High attention to detail, confidence working with numerical data and a logical approach to problem-solving.
  • A collaborative, customer-focused approach, with strong initiative, ownership and the ability to work autonomously while supporting a broader project team.
  • Commercial awareness and an interest in developing toward broader project management responsibilities.
