The Project Coordinator – Site Services provides high-quality administrative and coordination support to the Site Services team. This role ensures efficient day-to-day operations, accurate invoicing, compliance with client and site requirements, and effective coordination of service activities. The position plays a key role in supporting branch efficiency, profitability, and customer satisfaction.
This is a fixed-term replacement role to cover maternity leave commencing May 2026.
Key ResponsibilitiesProvide comprehensive administrative support to the Site Services team
Coordinate and administer site service activities, ensuring accuracy and timeliness
Prepare quotes and manage invoicing for site service jobs via the ERP system
Complete data entry for daily service-related activities
Open and close service job numbers and maintain accurate job records
Raise purchase requisitions to support service activities
Schedule and coordinate meetings, diaries, flights, and accommodation for service personnel
Maintain electronic and paper filing systems, including document editing, proofing, formatting, and archiving
Manage contract administration and support regulatory and site clearance requirements
Ensure all medical, training, and induction documentation is current and uploaded to client induction portals
Monitor and maintain compliance for site service personnel across multiple client sites
Provide general office and secretarial support as required
Promote and support a strong culture of personal and team safety
Experience using site induction and compliance portals such as GWOS, Damstra, Pegasus, and Onsite
Strong organisational skills with the ability to prioritise and manage multiple tasks
Excellent written, verbal, and interpersonal communication skills
High attention to detail with strong problem-solving capability
Demonstrated customer service focus when working with clients, contractors, and internal teams
Ability to work autonomously while contributing effectively within a fast-paced team environment
Strong time management skills and a proactive approach to work
