Position Overview

The Project Operations Coordinator plays a pivotal role in ensuring operational excellence across project delivery and team performance. This role demands a detail-oriented professional who thrives on structure, accountability, and continuous improvement. Working closely with the Services Director, Project Managers, and Practice Team Leads, the Project Operations Coordinator drives overall Services team utilisation, oversees reporting, and ensures smooth execution of operational processes. 
 
This role is open to candidates based in Sydney, and we’re committed to offering flexibility. Whether you’re seeking full-time or part-time hours, we’re open to tailoring the arrangement to support the right candidate’s needs and work–life balance. 

Key Responsibilities

  • Manage small-scale projects from initiation to completion, ensuring timely delivery and client satisfaction.
  • Drive Services team utilisation by collaborating with the Services Director, Project Managers and Practice Team Leads to align capacity with project demands.
  • Oversee all utilisation and PMO reporting, providing accurate insights to support strategic decisions.
  • Conduct regular project audits to ensure compliance, quality, and continuous improvement.
  • Maintain up-to-date consultant profiles to support resourcing and client engagements.
  • Ensure team certifications are current and aligned with evolving project and client needs
  • Collaborate with the Antares recruitment team to maintain a healthy and engaged network of contractors, fostering ongoing relationships to ensure readiness for future project needs.
  • Review timesheets to ensure accuracy and adherence to project timelines. 

Preferred Skills & Qualifications

  • Bachelor’s degree in business, operations, or a related field, or equivalent experience.
  • 2-3 years in a PMO coordination role within technology industry.
  • Strong planning, reporting, and organisational skills.
  • Clear and effective communicator.
  • Proficiency in Microsoft Excel, PowerPoint, and Project.
  • Strong analytical and reporting skills with attention to detail.
  • Excellent communication and collaboration abilities.
  • Ability to manage multiple priorities and drive operational efficiency.
  • A proactive team player who adapts quickly.
