The Opportunity

We have a newly created opportunity for a Rates Coordinator to join our Finance (Legal Accounts) team on a full-time, permanent basis.  This will be a hybrid role based in our Sydney office.

The Rates Coordinator is responsible for managing client and matter rate arrangements within the firm's practice management system and ensure compliance with client agreements. You will also provide expert support on rate-related queries, annual rate reviews and drive continuous process improvements.

Key Responsibilities

  • Maintain and update client rate arrangements within the firm's practice management system ("Aderant")

  • Assist with the onboarding of new clients by establishing initial rate arrangements and ensuring all relevant documentation is captured

  • Review and interpret client tenders and cost agreements and verify the correct rates are established in Aderant

  • Monitor and manage client volume discount arrangements to ensure compliance and accuracy

  • Provide expert support and resolve rate-related queries from practice administrators (secretaries), lawyers, partners and the clients & markets team

  • Track and report on upcoming rate changes, ensuring timely notification to relevant stakeholders and prompt updates in Aderant

  • Participate in the annual client agreement review process, including assessment of alternative rate arrangements to ensure accuracy and consistency

  • Support the development of implementation of process improvements to enhance the efficiency and accuracy of rate management

  • Conduct regular audits of rate arrangements to identify discrepancies and implement corrective actions

What We Are Looking For:

  • At least 3-4 years' previous experience in a similar role within a legal or professional services environment

  • Demonstrated ability with managing client/matter billing rates, panel firm agreements and alternative fee structures

  • Skilled in understanding and interpreting rate requirements from client tender and cost agreements

  • Familiarity with a practice management system, ideally Aderant Expert (advantageous)

  • Strong analytical skills and excellent attention to detail

  • Excellent communication skills, both verbal and written

  • A positive, team -oriented attitude with the willingness and desire to learn

  • Intermediate MS Excel (desirable) and competent with other Microsoft Office programs
