About the role:
Senior Personal Assistant – Risk Advisory Services
Location: Sydney
Employment Type: Full-time
We are seeking an experienced, organised and proactive Senior Personal Assistant to support three Leaders and their teams within the Risk Advisory Services (RAS) division in Sydney. This role is critical in ensuring the team meets client and firm responsibilities efficiently, often managing competing deadlines. The successful candidate will thrive in a fast-paced environment, working both independently and collaboratively.
Key Responsibilities
General Administration
- Format client correspondence and reports in line with national standards
- Data entry and client record management
- Maintain CRM systems and client files
- Ensure compliance with internal processes and policies
- Generate weekly and monthly reports
- Collate information for tenders and proposals
- Provide ad hoc administrative support
- Organise occasional travel for Partners and team members
- Manage incoming mail and office deliveries
- Complete timesheets for Partners
- Support client events and training conferences
- Process expenses
Inbox and Calendar Management
- Coordinate meetings and manage calendars for three Leaders
- Maintain correspondence on behalf of Partners
- Track and manage deadlines
Monthly Invoicing
- Prepare invoices for Managers prior to Partner approval
- Enter data accurately and promptly
- Finalise and issue invoices to clients
- Follow up on outstanding payments
About you:
Education Requirements
Essential
- Completion of Secondary Education
Desirable
- Certificate in Business Administration
- Completion of TAFE or Business College administration course
Experience and Attributes
Essential
- Minimum 4 years in a similar role, preferably in professional services (e.g. accounting or legal firms)
- Experience with CRM software
- Ability to manage competing priorities in a fast-paced environment
- Strong communication and attention to detail
- Self-starter with confidence to work independently
- Team-oriented with a proactive approach
- Intermediate to advanced proficiency in Microsoft Office
