About the role:

Are you a proactive and detail-oriented administrator looking to make a meaningful impact across a dynamic team? We’re seeking a Team Assistant to join our Tax Services division, who thrives in a fast-paced environment and enjoys supporting a variety of operational and administrative functions.

In this role, you’ll be instrumental in ensuring the smooth running of practice operations, tax administration, event coordination, and general office activities. You’ll work closely with team members to deliver high-quality support that enhances client experiences and internal workflows.

Key responsibilities:

  • Action billing processes and ensure timely invoice follow-ups
  • Coordinate client onboarding and offboarding to deliver a smooth experience and maintain accurate CRM records. This also includes performing regular data clean-up to uphold data integrity.
  • Manage incoming and outgoing mail
  • Assist with ASIC matters and ensure compliance documentation is accurate and up to date. This also includes supporting tax lodgement processes, conducting company searches and providing assistance with company setup procedures.
  • Arrange catering orders for meetings and events
  • Prepare meeting rooms and event spaces and coordinate logistics for both internal and external events.
  • Organise team celebration gatherings, such as welcomes, farewells and milestone events.
  • Organise interstate and international travel arrangements, ensuring seamless coordination of flights, accommodation, and ground transportation as required.
  • Format and proofread proposals, reports, and presentations to ensure clarity, consistency, and professionalism. All documents are reviewed to ensure compliance with RSM brand standards and alignment with the firm's brand guidelines.
  • Assist with supplier onboarding, invoice processing, and expense reconciliation to ensure smooth financial operations and accurate record-keeping.
  • Provide comprehensive administrative assistance including, for example, ordering business cards and coordinating annual membership renewals for various learning platforms, and other ad hoc administrative support as needed.
  • Manage user access requests for business systems to ensure smooth operational workflows
  • Handle printing, binding, scanning, and mailing tasks.

About you:

You’re an organised and proactive administrator who enjoys supporting teams and keeping operations running smoothly. With strong communication skills and a keen eye for detail, you’re confident managing multiple tasks and working independently. You bring experience in team support, proficiency in Microsoft Office and CRM systems, and a positive, can-do attitude.

Experience and attributes:

  • Proven experience in an administrative or team support role.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Ability to multitask and work independently in a fast-paced environment.
  • Familiarity with tax administration and corporate compliance is a plus.

Education requirements:

  • Completion of TAFE or Business College administration course
