The purpose of this role is to coordinate effective planning and schedules that support operational teams to deliver on their objectives. This administrative role is responsible for liaising with key stakeholders to understand planning and operational requirements, and to plan, coordinate and provide effective schedules for team routines, training and events.
To be successful in this role, you will be passionate about enabling exceptional customer service and making both our staff and customer’s journey a simple and positive experience.
This will be a full time, 12-month secondment/max term contract position based in the Sydney, Newcastle or Parramatta office, with flexibility to work from home up to 3 days once fully trained.
YOUR RESPONSIBILITIES
- Coordinate planning for team routines, training sessions, and events, ensuring minimal disruption to service delivery
- Monitor and adjust schedules proactively to respond to changing business demands, leave requests, and unforeseen absences
- Support continuous improvement initiatives by identifying scheduling inefficiencies and recommending process enhancements
- Maintain accurate records and documentation related to scheduling, attendance, and workforce planning activities
- Contribute to a positive staff experience by providing clear, fair, and well-communicated schedules
- Support initiatives that improve the customer journey, including timely coordination of training and development activities
- Proactively engage with key stakeholders on a regular basis highlighting areas for improvement
ABOUT YOU
- Proven commitment to delivering exceptional customer service
- Strong background in administration or planning
- Proficient in using Microsoft Office applications
- Strong interpersonal, verbal and written communication skills with the ability to advise and influence a wide range of stakeholders
- High attention to detail and a methodical approach to task management
- Demonstrates critical thinking in everyday tasks and decision making
- Works independently and remains flexible in response to changing needs
- Positive, can-do attitude with the ability to hit ground running from day one
