About the Role
The Workplace Services Coordinator is responsible for supporting employees by ensuring timely and effective delivery of property-related services, including emergency assistance, maintenance coordination, invoicing, and supplier management.
Operating across multiple sites in Australia and New Zealand, the role encompasses oversight of all facets of building operations and essential services. A central focus will be placed on incident management, the enhancement of workplace processes, effective oversight of claims providers, and ensuring that all premises operate to the highest standards of safety, functionality, and service excellence.
Key Responsibilities
Coordinate facilities requests, office changes, and site maintenance across AU/NZ locations
Support workplace emergency protocols, incident management, and change communication
Manage supplier relationships, process invoices, and monitor workplace budgets
Administer the OfficeMaps booking system and maintain Workplace Services knowledge hub
Track and report greenhouse gas emissions, contributing to climate disclosures and ESG scorecards
Assist with document processing, governance meetings, and employee communications
Contribute to continuous improvement initiatives and support WHS policies
Provide event support for EAs and LS when needed
What You Bring
Proven experience in coordinating facilities operations, including oversight of maintenance activities and management of trades or technical service providers
Demonstrated capability in handling complex property-related matters involving multiple stakeholders, such as landlords, service providers, and internal teams
Solid track record in managing budgets and cultivating effective supplier relationships to ensure service quality and cost efficiency
Intermediate proficiency in MS Excel, Word, and PowerPoint
Proven ability to manage multiple stakeholders and prioritise competing tasks
Analytical thinking and creative problem-solving skills
Passion for sustainability and interest in ESG frameworks
