About the position:
The Workshop Administrator serves as the operational engine of our workshop, coordinating daily workflow, tracking job progress, and ensuring our bench teams complete every piece on time and to standard. Sitting at the intersection of production, logistics, and craft, this role delegates tasks to jewellers, setters, filers, and polishers, manages consumables stock, and performs final quality control checks. If you excel at workflow tracking, cross-departmental communication, and maintaining strict quality standards in a fast-paced environment, this role offers an exciting opportunity to drive production excellence.
Key responsibilities include:
- Manage daily workshop operations by assigning jobs to setters, filers, polishers, and bench staff based on capacity, production targets, and priority.
- Monitor job progress throughout the day, proactively addressing delays, reallocating tasks for urgent requests, and maintaining accurate records in job tracking software.
- Perform thorough quality control (QC) checks on completed jewellery pieces to verify workmanship meets brand standards, documenting deviations and coordinating corrective actions.
- Facilitate daily team briefings, provide regular status reports to the Workshop Manager, and liaise with production and logistics teams to ensure seamless information flow.
- Monitor workshop consumable stock, manage supply orders, and coordinate shipments and documentation (including customs paperwork) to support uninterrupted workflows.
What we are seeking:
- Proven experience scheduling, delegating, and monitoring workflow within a production, manufacturing, workshop, or high-volume retail environment.
- High-level organisational skills with proficiency in workflow tracking software, spreadsheets, and precise digital record-keeping.
- Demonstrated experience in quality control procedures with a keen eye for detail when assessing finished product standards.
- Strong interpersonal skills to lead team briefings, communicate across departments, and provide clear updates to management.
- Experience managing inventory/consumables and coordinating logistics documentation, including shipping and customs processes is desirable.
