About The Role:

The role involves administrative support of the delivery of a national vaccination program in workplace vaccination clinics. The successful applicant will be responsible for ensuring the program is delivered to the standard of the company and meets all the needs of our clients. Providing professional customer service to our clients and participants is essential for this role, as well as a willingness to support the wider team.
The Admin Assistant team generally work under focus areas of Equipment Admin, Nurse Admin or General Admin, however, can work across the other streams as required.

The Day-To-Day:

  • To handle customer queries via telephone and email in a timely and professional manner
  • Process paperwork and vaccination records via the Australian Immunisation Register
  • To assist in the organisation of vaccination sessions in line with client briefing and expectations
  • To liaise with the vaccination coordinators on staffing requirements, nurse schedules, marketing material and booking system requirements
  • To ensure compliance with cold chain management and the provision of all nurse equipment requirements
  • To liaise with the immunisation nurses on shift allocation and provision of clinic information and compliance with state regulations
  • Complete reporting requirements and data collection within protocol
  • Accurate and organised data tracking and reporting
  • Assist nurses with the pick-up and drop-off of supplies at the beginning and end of weekdays
  • When required, provide additional support or reports to clients when needed

About You:

  • Working knowledge with MS office programs, e.g. Word, Excel, Outlook, Teams
  • High level interpersonal skills
  • Good understanding of project management processes
  • Effective time management and organisational skills
  • Strong skills to communicate with people from a wide range of occupational groups
  • Effective communication skills with key stakeholders and the ability to identify and respond to client requirements
  • Excellent written & oral communication skills & high-level attention to detail
  • Ability to work in a fast-paced environment
  • Positive can-do attitude and ability to problem solve
  • Desired - A bachelor’s degree in health-related field (Exercise Physiology, Dietitian, Health Science, Nursing etc)
  • Desired - Experience in a vaccination or health-related program
