About the role:
We are seeking a reliable and proactive Administrative Assistant to support three Leaders and their teams within the Risk Advisory Services division in Canberra. This role is essential in helping the team meet client and internal deadlines, often managing competing priorities. You’ll be part of a dynamic environment where your ability to work independently and collaboratively will be highly valued.
Both part-time and full-time applications will be considered. Role can be based in Canberra or Sydney.
What You’ll Do
Administration and Team Support
- Format client correspondence and reports in line with national standards
- Maintain client records and CRM systems
- Ensure compliance with internal processes and policies
- Prepare weekly and monthly reports
- Coordinate tenders and proposals, ensuring timely submission
- Provide ad hoc administrative support across the team
- Organise occasional travel for team members
- Complete timesheets for Partners
- Assist with client events and training conferences
- Process expenses
Inbox and Calendar Management
- Coordinate meetings and manage calendars for three Leaders
- Maintain correspondence on behalf of Partners
- Track and manage key deadlines
Monthly Invoicing
- Prepare invoices for Managers prior to Partner approval
- Enter and finalise data accurately and promptly
- Issue invoices to clients and follow up on outstanding payments
About you:
What You’ll Bring:
Education
- Completion of a TAFE or Business College administration course (preferred)
Experience and Attributes
- Minimum 3 years’ experience in a similar role, ideally within professional services (e.g. accounting or legal firms)
- Experience using CRM software
- Strong communication skills and attention to detail
- Ability to manage competing priorities in a fast-paced environment
- Confident self-starter with a proactive approach
- Comfortable working independently and as part of a team
- Intermediate to advanced proficiency in Microsoft Office
