Hastings Deering is currently looking for an Administrator to join our team in Toowoomba. This is a Permanent Full Time position working Monday – Friday.

About the Role

Hastings Deering is currently looking for an Administrator to join our team in Toowoomba. This is a Permanent Full Time position working Monday – Friday.

As an Administrator, some of your responsibilities may include:

  • Build and maintain strong relationships with key customer accounts, delivering exceptional customer service and support.
  • Process credit returns, COD (Cash on Delivery) transactions, and customer credits accurately and in line with company procedures.
  • Maintain accurate cash sales records and manage non-trade purchase orders (POs).
  • Coordinate and manage parts backorders, ensuring timely communication and resolution.
  • Support inventory management and parts tracking through internal systems, including Microsoft Dynamics and PCC.
  • Monitor orders, stock levels, and transactions to ensure accurate records and efficient operations.
  • Liaise with customers, suppliers, and internal departments to facilitate smooth business operations.
  • Provide general administrative and operational support to maintain workflow efficiency.

About You

A successful teammate will have experience in:  

  • Proven administrative work history with demonstratable experience.
  • A strong focus on teamwork and customer service delivery
  • Desired experience in an administrative position within a fast-paced environment, efficient data entry skills and high attention to detail are essential.
  • Ability to work with management and staff to assist in the delivering of required outcomes.
  • Effective time management skills, along with well-developed (verbal and written) communication skills.
  • Be able to show initiative, solve problems and make decisions.
  • Understanding of job workflow and SIP processes
  • Qualifications in Business/Office Administration (desirable)
  • Experience and knowledge of advanced MS office package, ERP and AX Business Systems
