Job Description:

General Description:

The Associate Manager, Regional Business & Operations Support provides regional enablement and business operations support to GCO JAPAC. This role operates as a regional coordination and support function—supporting day-to-day business rhythm, regional metrics and reporting, leadership meeting materials, cross-country follow-through, and process standardization. The position supports the wide JAPAC Clinical Operations leadership and country teams to improve visibility, discipline, and consistency across regional priorities, while also providing operational support to regional feasibility and clinical trial planning by compiling country-level inputs, maintaining trackers, and assisting with basic analysis of site and patient data across JAPAC.

Essential Functions of the job:

This role is expected to combine strong organizational execution with data/metrics discipline, communication support (especially PowerPoint narrative), and stakeholder coordination across multiple countries/time zones. Responsibilities will be assigned based on evolving regional needs and priorities.

Responsibilities:

Presentation Development & Leadership Narrative Support

  • Develop and refine PowerPoint presentations and narratives for recurring leadership forums, business reviews, and ad hoc updates; ensure materials are clear, consistent, and decision-oriented.
  • Support regional management reporting by converting raw updates into concise summaries, including “what changed / so what / next steps” framing, in partnership with all regional domain responsible. 

Analysis, Reporting, and Decision Support

  • Provide operational support to regional feasibility and clinical trial planning activities by compiling country-level inputs, maintaining trackers, and assisting with basic analysis of site and patient data across JAPAC
  • Provide ad hoc analysis and reporting to support regional planning, prioritization, and decision-making (e.g., consolidating status, building simple trend views, tracking risks/issues/actions).
  • Create and maintain practical trackers/manuals to support execution (e.g., action trackers, milestone trackers, meeting trackers) where existing systems are insufficient for regional oversight.

Process Improvement, Standardization & Operational Discipline

  • Support process improvements and standardization initiatives by documenting “current state,” proposing streamlined templates, and coordinating rollout/adoption across country teams.
  • Promote operational discipline through consistent ways of working (templates, cadence, action tracking, documentation hygiene).
Regional Business Rhythm & Administrative Operations Support (JAPAC-wide)
  • Provide day-to-day coordination support for JAPAC regional operations, including organizing inputs, maintaining trackers/action logs, and ensuring follow-through on commitments.
  • Support preparation and documentation of internal and cross-functional meetings by preparing agendas, capturing minutes/decisions, and tracking actions to closure.
  • Maintain an organized regional repository of materials (e.g., meeting packs, trackers, templates) to improve accessibility and version control across countries.
Cross-Country Operational Coordination & Alignment
  • Coordinate across JAPAC countries to ensure alignment, consistency of approach, and completion of agreed deliverables (especially where inputs must be standardized across countries).
  • Serve as a connector across country stakeholders to maintain a coherent regional view of priorities, timelines, and dependencies.

Metrics, KPI Tracking, and Performance/Action Visibility

  • Support regional updates on KPIs and study performance trends by compiling inputs from country teams and consolidating into leadership-ready views (to support dashboards/scorecards/trackers as applicable in partnership with regional leader who is responsible for this).
  • Track regional action items and performance commitments, escalating risks/slippage to the appropriate owner(s) and supporting mitigation follow-up.

Provide communication support and other regional‑level administrative and operational support as required, ensuring effective coordination, information flow, and alignment across the JAPAC region.

Qualification Required:

Education Required:

Bachelor’s degree (or equivalent) or higher in a scientific, medical, or healthcare discipline* with minimum of 5 years of experience in clinical operations or strategic planning within the pharmaceutical or biotech industry; regional experience in JAPAC preferred

Computer Skills:   

  • Advanced knowledge Microsoft Office - Word, Excel, Power Point and MS Outlook; Smartsheet, SharePoint, MS Teams,
  • Analytical Tools (e.g.Citeline, Trialtrove), CTMS, EDC, etc.

Other Qualifications:  

Strong organizational skills and attention to detail; able to handle multiple priorities in a fast-paced environment.

Strong written and verbal communication skills across levels and cultures; able to synthesize inputs into clear outputs.

Skills and Competencies:

  • Excellent communication and stakeholder management skills.
  • Proficiency with analytic tools (e.g., Citeline, Trialtrove), CTMS, EDC etc..
  • Demonstrated ability to synthesize regional intelligence and operational data into actionable recommendations for protocol design and execution.
  • Fluent in English; additional regional languages a plus.
  • Strong project management capabilities with proven success leading complex, multi-country initiatives.
  • Skilled collaborator who thrives in a matrixed, multicultural environment
  • Proven track record of identifying and driving process improvements to increase operational efficiency.
  • Exceptional communication and interpersonal skills, fostering trust, alignment, and collaboration across global and regional teams.
  • High degree of accountability, initiative, and ownership, demonstrating judgment and adaptability in a fast-paced environment.
