Job Description

Oaks Cypress Lakes Resort is seeking a motivated and organised Conference Sales & Events Coordinator to join our team on a part-time basis. This exciting role combines sales, event planning, client relationship management, and event delivery, making it perfect for someone who thrives in a fast-paced hospitality environment and enjoys seeing events through from enquiry to completion.

About the Role

As the Conference Sales & Events Coordinator, you will be the primary contact for clients planning conferences, corporate functions, weddings, retreats, and special events. Working closely with operational teams across the resort, you'll ensure every event is delivered seamlessly while building strong client relationships and identifying new business opportunities.

Key Responsibilities

  • Manage event enquiries from initial contact through to post-event follow-up
  • Prepare proposals, contracts, function sheets, and event orders
  • Coordinate all event logistics, including room setup, catering, audiovisual requirements, and supplier arrangements
  • Conduct site inspections and assist in securing new business opportunities
  • Build and maintain strong relationships with clients and key stakeholders
  • Ensure accurate booking administration, payments, and documentation
  • Attend event briefings and communicate requirements across departments
  • Be present during events to ensure successful delivery and manage any last-minute changes
  • Promote resort facilities and maximise conference and event revenue opportunities

Qualifications

This is a part-time position; however, flexibility is essential. While many hours will be worked during standard business hours, events may occasionally require attendance after hours, on weekends, or public holidays to support successful event delivery.

To be successful in this role, you will have:

  • Previous experience in event coordination, conference sales, hospitality, or a similar role
  • Strong organisational skills and exceptional attention to detail
  • Excellent communication and relationship-building abilities
  • A sales-focused mindset with a passion for delivering outstanding customer experiences
  • The ability to manage multiple priorities in a fast-paced environment
  • A proactive, positive, and solutions-focused approach
