About the Opportunity

The Contract Manager drives regional operational execution, contract governance, financial administration and system consistency across our Facilities and Operations network (Australia and South East Asia). This role focuses on optimizing operational ways of working, and supporting the Building Operations Director through key change initiatives and maintaining centralized operational systems.

Additionally, the role holds primary accountability for outsourced services across the region - ensuring performance frameworks, contract standards, and vendor governance are executed with professionalism and care to maximize the strategic value of our partner relationships. The primary objective is to drive execution consistency, robust vendor oversight, financial administration, and data-driven reporting across Australia and South East Asia.

Note: Regional travel across Australia and SEA required as needed.

Your work, which will include but not be limited to the duties listed below, will help WeWork to achieve the following:

  • Change Management & Technology Implementation: Support the end-to-end operational rollout of operational systems across the region, driving user adoption, replacing legacy platforms, and supporting teams through operational shifts

  • Process Standardization & Continuous Improvement: Identify operational inefficiencies or undocumented workflows across regions; partner with Facilities Managers to establish standardized ways of working and drive the consistent application of established operational frameworks, playbooks, and change methodologies across regional markets, tailoring execution for local nuances

  • Data-Driven Insights & ROI Analysis: Support the Operations Director to evaluate strategic opportunities, quantifying impact by attaching operational data, financial analysis, and ROI calculations to business decisions

  • Program Audit & Compliance: Lead the introduction, execution, and tracking of regional audit programs, site checks, and operational governance routines

  • Planning & Budgeting: Facilitate the annual budget preparation cycle for regional operations in close collaboration with key stakeholders

  • Contract Lifecycle and Procurement Management: Oversee end-to-end administration for ~50 facilities-related contracts across Australia and SEA, managing the Contract Renewal Lifecycle from 6-month pre-planning reviews through execution and go-live. Track critical contract milestones using central tools (e.g., Contract Board, Quotes Board); build evaluation workbooks at key trigger dates to assess service levels and recommend procurement approaches (3 Bid Buy, Renewal, Tender, RFI, or RFP)

  • Commercial Compliance & Alignment: Ensure alignment of MSA commercial terms pre-vetted by Legal across regions and contract types, streamlining pre-negotiation and aligning expiration terms into dedicated annual cohorts (e.g., March, June, September)

  • Vendor Performance Management: Monitor vendor performance against defined KPIs (NPS Impact, Ticket Age, PPM Completion, Audit Completion) and SLAs (Response Times, Safety Reporting, Resourcing) to drive operational quality

  • Performance Frameworks & Commercial Governance: Manage vendor review meeting cadences (Fortnightly Ops, Monthly Business Reviews, and Quarterly Reviews); administer commercial frameworks including Fee at Risk / Profit at Risk models based on quarterly performance

  • Purchase-to-Pay (P2P) & Financial Administration: Enforce ordering guidelines and financial governance across recurring and ad-hoc spend; oversee SCON / PO issuance, capture fixed service costs (SCON lines), and audit non-fixed expense compliance. Serve as the regional operational representative in global forum discussions, driving change management and regional alignment

  • Cross-Functional & Partner Enablement: Partner with Procurement, Operations, Legal, and local Facilities Managers during renewal approvals; Develop and deliver training resources, playbooks, and onboarding sessions, create and distribute clear "One Pagers," local P2P Guides, and vendor rules of engagement for Community and Sales teams upon contract completion

  • Systems Administration & Infrastructure: Own Maintain and administer central operational tools and resources - including Monday.com boards, cost trackers, budget tools, performance dashboards, Mission Control, and Vendor Capacity tools - to maintain data integrity and optimize ways of working

About You

  • Preferred 8+ years of relevant experience in a related discipline

  • Bachelor’s degree in relevant subject or equivalent combination of education and experience 

  • Multi-site facilities experience, ideally within complex, high-volume environments. A deep understanding of the operational realities of managing multiple sites, stakeholders and service providers will be highly beneficial

  • Proven ability to lead through ambiguity, execute cross-functional operational programs, drive technology adoption and platform rollouts, and build standardized playbooks and frameworks

  • Strong stakeholder management and communication skills, with the ability to influence and communicate effectively across complex stakeholder networks and large headcounts

  • Previous experience in facilities, community management, coworking, flexible workspace, or similarly service-led commercial environments

  • Strong hands-on proficiency across operational systems  as Excel, Monday.com, Salesforce, Yardi or similar operational and business systems

  • Strong analytical and critical thinking skills, with a proven ability to evaluate complex operational scenarios, prioritize high-impact solutions, and leverage data to drive commercial decisions

  • Exceptional communication and stakeholder management skills, capable of driving change management and cross-functional alignment across regional teams

  • Proactive problem-solving capabilities, with a track record of identifying operational inefficiencies and implementing practical, scalable fixes

  • Adaptable and comfortable with ambiguity, able to operate effectively in a fast-moving environment

  • Strong operator, with a bias towards action, accountability and continuous improvement
