Your Role & TeamThe Executive Assistant to the CEO is a senior, high‑trust role that operates as a true business partner, supporting the CEO across executive, operational and strategic priorities. This role goes beyond traditional administrative support, acting as a central point of coordination, execution and accountability across the organisation.
Working at the centre of the business, the Executive Assistant ensures the CEO is focused on the highest‑impact initiatives while bringing structure, clarity and momentum to key priorities. This includes supporting board and executive governance, driving cross‑functional initiatives, managing high‑stakes or ambiguous projects, and ensuring decisions translate into action across the business.
In addition, this role leads the administration function across locations, ensuring consistent, high‑quality support and alignment to business priorities. The Executive Assistant operates as a “clearing house” for coordination and escalation, working closely with senior stakeholders to manage complexity, drive accountability and enable the business to operate effectively at scale.
You'll report directly to the CEO in this role.
Please note, it's a full-time opportunity offering hybrid working conditions out of our Sydney CBD Office.
Some of your responsibilities include and are not limited to:
Executive & CEO Support
- Manage the CEO’s priorities, calendar and communications to maximise focus and efficiency
- Prepare executive briefings, board packs and key business documentation
- Coordinate Executive and Board meetings, including agendas, minutes and action tracking
Strategic & Operational Execution
- Drive coordination and execution of strategic business initiatives across teams
- Track actions, escalations and outcomes to ensure delivery and accountability
- Bring structure and clarity to complex or fast-moving business priorities
Project Management & Governance
- Provide PMO support across key initiatives, ensuring clear timelines and ownership
- Maintain strong governance, reporting and operational processes
- Identify and implement improvements to strengthen business execution
Office Operations & Vendor Management
- Oversee office operations, facilities and workplace planning across locations
- Manage vendor, contractor and lease relationships to support efficient operations
- Support office moves, fit-outs and workplace improvement initiatives
People Leadership & Employee Experience
- Lead and develop the administration function across NSW and VIC
- Drive consistency, service standards and operational excellence across teams
- Partner with People & Culture to support employee engagement and experience initiatives
Administrative & Operational Support
- Coordinate travel, events and executive logistics for the leadership team
- Prepare high-quality presentations, communications and business documentation
- Manage expenses, approvals and broader operational support requirements
- 5+ years experience in previous EA role, preferably reporting into CEO or other C-level executives
- Strong business judgement - able to prioritise effectively and operate with autonomy
- Strategic thinking with a bias for execution and outcomes
- Exceptional organisational capability managing complex, competing priorities
- High accountability with a strong focus on follow‑through
- Ability to influence outcomes across senior stakeholders without direct authority
- Excellent communication skills with the ability to operate at executive level
