The Opportunity
 

At Macquarie Data Centres, we're building the infrastructure that powers Australia's digital future. We're looking for a highly organised, proactive and polished Executive Assistant to join us on a 13-14-month parental leave contract, supporting our Group Executive.

This is far more than diary management. You'll be the trusted right hand to a senior executive, keeping priorities on track, coordinating complex international travel, delivering exceptional events and ensuring the smooth running of key business activities. You'll also provide light-touch support to the Executive GM while partnering closely with senior leaders across the business.

No two days are the same. One day you'll be coordinating an international executive itinerary with customer meetings across multiple cities, the next you'll be delivering a leadership offsite, preparing Board reporting or bringing a company Town Hall to life.

About You!

    • Significant experience supporting C-suite or Executive-level leaders.
    • Exceptional diary and calendar management skills, with the ability to juggle competing priorities.
    • Highly organised with outstanding attention to detail.
    • Confident coordinating complex domestic and international travel, including detailed itineraries and executive meetings.
    • Experienced in planning and delivering corporate events, leadership offsites, Town Halls and team activities.
    • Strong communication skills with the confidence to engage professionally with senior executives, customers and external stakeholders.
    • Proactive, resourceful and always one step ahead.
    • Comfortable managing confidential information with absolute discretion.
    • Able to work independently while building strong relationships across the business.
    • Calm under pressure and able to adapt quickly to changing priorities.

Required Skills!

    • Executive calendar and meeting management.
    • Board reporting and executive presentation preparation.
    • Meeting coordination, minute taking and action tracking.
    • Project coordination and follow-up of key deliverables.
    • Event planning and budget management.
    • Expense reconciliation, invoice processing and purchase orders.
    • Business communications and document preparation.
    • Microsoft Office Suite (Outlook, PowerPoint, Word and Excel).
    • Experience with Concur, SharePoint and Canva is highly regarded.

In this role you'll be responsible for!

    • Managing the Group Executive's complex calendar and meeting schedule.
    • Providing light-touch executive support to the Executive GM.
    • Coordinating Town Halls, leadership offsites, workshops and team events.
    • Supporting customer, partner and charity events in partnership with Marketing.
    • Planning international executive travel, including flights, accommodation, transport, restaurants, activities and detailed itineraries.
    • Preparing monthly Board reporting and executive presentations.
    • Tracking actions, projects and key business deliverables.
    • Managing expenses, purchase orders and event and travel budgets.
    • Supporting business communications and providing ad hoc executive assistance as required.
