Profile Requirements:

  • Up to 2 Years of Experience as an Executive Assistant, Administrative Assistant, Operations Assistant, Logistics Coordinator, or similar role
  • Strong administrative, clerical, and organizational background
  • Experience supporting transportation, delivery, logistics, courier, trucking, or contractor-based businesses is preferred
  • Experience coordinating independent contractors or remote workers is highly desirable
  • Strong written and verbal communication skills
  • Professional phone and email communication abilities
  • Excellent organizational and time-management skills
  • Strong attention to detail and accuracy
  • Ability to manage multiple priorities and changing deadlines
  • Experience with Microsoft Office, Google Workspace, spreadsheets, and cloud-based business applications
  • Familiarity with CRM, dispatch, project management, or logistics software is preferred
  • Experience researching and completing business applications, contracts, bids, or vendor registrations is a plus
  • Comfortable learning new software and business processes quickly
  • Strong problem-solving and decision-making abilities
  • Ability to work independently with minimal supervision
  • Professional, dependable, and capable of handling confidential business information
  • As the role progresses, there may be opportunities to support the client’s other businesses and potentially transition into a full-time position.

Core responsibilities:

  • Provide day-to-day executive and administrative support to company leadership
  • Assist with logistics coordination, delivery scheduling, and operational follow-up
  • Help manage independent drivers, including maintaining driver records, availability, documentation, and contact information
  • Communicate with drivers regarding assignments, schedules, pickup details, delivery requirements, and operational updates
  • Assist with recruiting, onboarding, and maintaining relationships with independent contractors and delivery drivers
  • Track required driver documentation, background checks, insurance information, licenses, and other compliance-related records
  • Research and complete contract applications for delivery, courier, logistics, government, medical, legal, retail, and commercial opportunities
  • Monitor contract opportunities, bid deadlines, application requirements, and follow-up activities
  • Prepare and organize documents required for contract submissions and business opportunities
  • Maintain organized records of active contracts, prospective opportunities, customers, and drivers
  • Coordinate communication between leadership, drivers, clients, vendors, and business partners
  • Respond to incoming calls, emails, and general business inquiries
  • Assist with customer requests for quotes, delivery information, availability, and scheduling
  • Help monitor active deliveries and follow up on pickup and delivery status when necessary
  • Maintain accurate information within CRM, scheduling, dispatch, and administrative systems
  • Prepare reports, spreadsheets, presentations, invoices, and other business documents
  • Manage calendars, meetings, reminders, and leadership scheduling
  • Assist with billing, invoicing, payment tracking, and administrative financial tasks when needed
  • Research prospective clients, business partnerships, delivery opportunities, and new markets
  • Assist with outreach to potential commercial customers and contract partners
  • Maintain organized digital files and company documentation
  • Develop checklists, workflows, and standard operating procedures to improve efficiency
  • Assist with driver performance tracking and documentation
  • Escalate delivery issues, driver concerns, or customer complaints to leadership when appropriate
  • Help ensure customers receive timely, professional communication throughout the delivery process
  • Support business development, marketing, and special projects as assigned
  • Remain flexible and provide administrative support to additional businesses or industries operated by leadership as needed
