A Day in the LifeThe Integrated Cardiac Therapies (ICT), Cardiac and Vascular Surgery (CVS), and Peripheral Vascular Health (PVH) businesses support healthcare professionals and health systems through a portfolio of therapies and technologies focused on cardiovascular care.
As an Executive Assistant, you will provide executive and operational support across this operating unit structure, partnering closely with senior leadership and contributing to business coordination, communications, events, and administrative operations.
This position is based in Sydney, Macquarie Park and follows a hybrid work model. Success in this role requires the ability to work with discretion, sound judgement, flexibility, integrity, and the strong ability to build trust.

This role provides high-level executive, administrative, and operational support to the Senior Business Director ANZ, ICT CVS PVH while also providing limited administrative support to senior business leaders within the business. The position plays a critical role in enabling leadership effectiveness through proactive calendar management, communications support, travel coordination, event management, and business administration.

Primary Responsibilities

  • Manage complex executive calendars, coordinate meetings across multiple time zones, and resolve scheduling conflicts.

  • Coordinate domestic and international travel arrangements and manage travel-related changes in accordance with company policy.

  • Prepare expense reports, support purchase order processing, and administer meeting-related financial activities.

  • Lead planning and execution of large-scale leadership meetings, team events, customer engagement dinners, and other business events.

  • Prepare presentations, reports, meeting agendas, minutes, and follow-up actions to support leadership priorities.

  • Serve as a key point of contact between executives and internal and external stakeholders, ensuring effective communication and timely follow-up.

  • Maintain organisational charts, distribution lists, and support compliance-related administrative activities.

  • Provide operational and administrative support on special projects and business priorities as assigned.

Required Qualifications

  • 5+ years of experience providing executive administrative support to senior leaders within a multinational corporate environment.

  • Experience managing complex executive calendars, travel arrangements, executive communications, and confidential information.

  • Experience independently planning and delivering large-scale meetings, events, or leadership offsites.

  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.

  • Experience using Concur for travel and expense management.

Preferred Qualifications

  • Relevant qualification in Business Administration, Event Management, or a related discipline.

  • Experience supporting senior business leaders in the medical technology, healthcare, or similarly regulated industry.
