The ANZ Executive Assistant is responsible in supporting the ANZ Vice President and ANZ Leadership Team. will be responsible for managing tasks in a fast-paced and dynamic environment. The Executive Assistant is the go-to person working closely with leadership, employees, key stakeholders and vendors. The Executive Assistant ensures seamless operations and workplace management across the ANZ region
- This role will support the ANZ Vice President and collaborate closely with the ANZ Leadership Team.
- Accountable for day-to-day admin operations for the VP. Managing key logistic aspects of the VP’s office, including extensive calendar management, travel and expenses, ownership of administrative duties, ensuring rhythm of regular 1:1 and internal sales meetings, coordinating internal/external, customer and partner meetings.
- Managing fortnightly Leadership Team meetings
- Setting up sales meetings, forecast calls, QBR’s and territory reviews, assisting with EBC requests and managing meeting conflicts.
- Communicating updates on behalf of the VP. Respond to and manage matters requiring attention or refer them to the appropriate resources.
- Event management for ANZ Team across the region – quarterly team get-togethers, end of year team parties across ANZ, team celebrations and team lunches.
- Fortnightly All Hands management and coordination.
- Coordination of quarterly ANZ survey and management of Veeam Values awards.
- Planning of ANZ End of Year Customer Appreciation events in ANZ states.
- Prepare and edit documents and presentations, minutes and following up action items.
- Plan and execute Leadership Team and sales team offsites and events.
- Hosting international executives – coordinating schedules, coordinating executive briefing documents, customer and partner meetings, events, internal events.
- Management of ANZ Purchase Orders and invoices via Coupa.
- ANZ Admin and office budget management.
- Assisting with purchasing in ANZ and reconciling invoices – e.g. Meeting catering, team gifts, ad hoc purchases.
- Assisting internal recruitment with confirming timing for interviews for VP. Assisting with new hire onboarding for ANZ VP’s and leadership teams new hires.
- Creating promotional merchandise bags for sales team for customer meetings.
Workplace Management
- Partnering with Global Director of Facilities on local ANZ initiatives and feedback.
- Booking meeting rooms for interstate team – managed via Regus account.
- Ensuring that common areas in office premises are equipped with office supplies.
- Coordinating the maintenance and repair of office equipment or facilities.
- Weekly office grocery order, monthly birthday cake order, team lunch order, stationery order.
Qualifications
- Previous Executive Assistant experience required.
- Workplace management experience required.
- Associate’s degree preferred and/or equivalent years of experience.
- Able to proactively anticipate needs and adjust plans based on contingencies that arise.
- Experience working under pressure to complete tasks while being diplomatic and collaborative.
- Positive attitude, strong integrity and work ethic
