The Workplace Operations team at IMC support all office and event management, Learning & Development programs, facilities and broader administration across the APAC offices.
As a Junior Office Manager sitting on the reception desk, you will deliver on bespoke events and experiences for our Sydney employee base, you will offer facilities support to the Facilities Manager and lead WHS operations for the office.
Your Core Responsibilities:

  • Front Office Administration -Proactively manage daily operations to ensure a high level of service, addressing issues promptly and professionally. Support adequate staffing levels at the Front Office and associated tasks. Oversee the timely responses to all travel and accommodation booking requests, supporting complex or emergency requests as they arise
  • Facilities Support - drive a superior performance and service by overseeing our facilities partners to ensure they meet agreed-upon Service level agreements (SLAs) and service standards, undergoing periodic cost and value evaluations. Act as a main point of contact for building management in relation to the office space including access requests, routine maintenance and periodic operational meetings;
  • Lead Workplace Health and Safety Operations - Oversee WHS functions for the business which includes managing routine fire drills, maintaining first aid officer appointees and their training, coordinating WHS updates and policies including inventory management for the Sydney office.
  • Event Management -You will own an annual events program coordinating activities, arranging travel and accommodation, managing external vendors and ensuring a seamless delivery.
  • Support on major annual events - you will assist the Office Manager in the organisation and execution of the major IMC Sydney events (which includes the annual employee weekend away and Holiday party) involving logistical planning, coordination, budget tracking and delivery
  • Ad-hoc administrative tasks as they arise


Your Skills and Experience

  • Hands on experience with facilities operational duties and delivering a great employee experience
  • Experience in leading WHS operations
  • Experience in managing events programs and workplace operations in a commercial setting;
  • Outstanding organisational skills, ability to prioritise and equally comfortable working independently and cross-functionally
  • Exceptional oral and written communication skills;
  • Proficient computer skills and ability to operate general office equipment, along with knowledge of Microsoft Office suites;
  • Commitment to providing outstanding customer service and demonstrate strong interpersonal skills;
  • Strong attention to detail; and
  • Strong sense of initiative to be able to identify areas of administrative improvement and take ownership of processes.
