The Workplace Operations team at IMC support all office and event management, Learning & Development programs, facilities and broader administration across the APAC offices.
As the Office Assistant, you will be responsible for undertaking reception and office administrative duties to ensure the smooth running of all day-to-day office operations. Located at reception, you will be responsible for general enquiries from both external sources and internal staff. This will encompass a range of administrative duties and ad hoc tasks.
Core responsibilities:
Front Office Administration:

  • First point of contact for visitors to IMC, answering/directing incoming calls; receipt and organisation of daily mail
  • Organising domestic and international travel logistics
  • Ordering and managing catering requests with in house catering site manager; ordering and maintaining stock of office supplies and merchandise
  • Monitor and effectively manage team mailboxes in a timely manner, including ad-hoc requests from APAC office staff.
  • Ensure reception and meeting rooms are maintained and visitor ready; ensure a safe and tidy work environment for both front and back of office


Event Management support:

  • Support IMC events, both in-house and off-site; inclusive of HR Programs


General Admin and project work where required:

  • Work closely with the sustainability & charity committee, supporting various initiatives and meeting requirements.
  • WHS responsibilities as appropriate


Your Skills and Experience

  • Excellent communication, with strong interpersonal skills
  • Exceptional time management, with the ability to effectively multitask

  • The ability to solve problems creatively and proactively
  • Punctual and dependable
  • The ability to prioritise, act and perform successfully in a fast-moving and high-pressured environment
  • Experience working within Front Office, preferably with a demonstrated interest in financial markets
  • Comfortable managing competing deadlines and juggling multiple projects under pressure
  • Intermediate or above proficiency in Microsoft Office
