The Opportunity

Our Legal Operations team is the heart of our Legal department. From organising new starter onboarding and ongoing training, to booking travel for our lawyers to see clients, and keeping precedents up to date, they set our lawyers up for success and keep them humming.

To support the growth of LegalVision, we are seeking a highly organised, people-focused Legal Operations Assistant to administer our lawyer onboarding and training programmes and provide general administrative and operational support to the legal team. 

This is a full-time role suited to someone from an administration, operations, or similar background who thrives in a fast-paced environment, and takes pride in delivering an exceptional experience to internal clients.

Key Responsibilities

Lawyer Onboarding

  • Support the senior legal operations managers in delivering lawyer and graduate onboarding programmes across Australia, New Zealand, and the UK.
  • Create, administer, and track onboarding checklists for all new starters, monitoring progress over their first three months.
  • Coordinate with legal teams to ensure each new starter has a tailored induction plan.
  • Manage the onboarding calendar, ensuring new starters are booked into the correct sessions and proactively resolving scheduling conflicts as they arise.
  • Deliver introductory onboarding sessions including IT set-up and building orientation.
  • Support the continuous evolution of onboarding materials to keep pace with the firm's growth.

General Admin & Legal Ops Support

  • Monitor the helpdesk for general administrative tasks, including administering our lawyer consultation roster using the firm's calendar scheduling software.
  • Maintain and update the legal team organisational chart to reflect people movements and reporting line changes.
  • Track and collate data to support lawyer performance reporting.
  • Provide ad hoc support on legal operations projects as directed.
  • Book travel for our Head of Legal and other senior lawyers as required, and arrange team socials.

Legal Training & Knowledge Management

  • Coordinate the firm's internal training and CPD programmes, including calendar management, room set-up, catering, and attendance tracking.
  • Create, improve, and update training materials and slide decks to a high standard - turning notes and drafts into polished, reusable resources.
  • Assist with the development of internal knowledge resources, playbooks, and process documentation.
The Ideal Candidate
  • Background in business administration, operations, knowledge management, or a related field - legal experience is not required.
  • Exceptional organisational skills with the ability to manage multiple priorities.
  • Warm, approachable communication style with a customer-service orientation.
  • Tech savvy and able to quickly master new enterprise software platforms.
  • Strong attention to detail and a proactive, can-do attitude.
  • Ability to work independently and use initiative in a fast-moving environment.
  • Interest in legal operations, legal technology, or professional services is a plus.
